POSITION OBJECTIVE
Working under general direction, the Department Assistant 2 and Office Manager will play an integral role in supporting the Marian K. Shaughnessy Nurse Leadership team in achieving its mission of becoming the leadership destination. This position will provide critical management support for all marketing, communications, and events related to the Shaughnessy Nurse Leadership Academy. Assignments may be long term and require the individual to rely on own resources for task accomplishment.
ESSENTIAL FUNCTIONS
- Manage scheduling for the leadership team, maintain a calendar of all academy events, and
communicate key information to department leadership. Initiate and follow up on routine correspondence. (20%)
- Oversee general operations for the academy. Organize and prepare for meetings, including managing banquet event orders, printing name tags, and preparing program folders. (20%)
- Assist in preparing academy reports, reconcile monthly expense statements, and manage travel logistics for program participants. (20%)
- Collaborate with the program manager and director to ensure the website is regularly updated with
relevant program information and assist with recruitment efforts for various programs. (15%)
- Maintain up-to-date information on program and advisory board rosters and ensure the Shaughnessy
Nurse Leadership Academy files are well-organized. (10%)
- Keep current on legislation, events, and news relative to the School of Nursing. (10%)
NONESSENTIAL FUNCTIONS
Perform other duties as assigned, including maintaining office supplies. (5%)
CONTACTS
Department: Regular contact with department staff, and faculty, to maintain workflow.
University: Occasional contact with other university departments on an as needed basis to exchange information.
External: Occasional contact with donors for visits and engagements for Shaughnessy Nurse Leadership Academy programs that require travel.
Students: Frequent contact with students to exchange information.
SUPERVISORY RESPONSIBILITY
This position has no direct supervision of staff employees.
QUALIFICATIONS
Experience: 3 to 5 years of related experience required.
Education: High School education required. Bachelor’s degree preferred.
REQUIRED SKILLS
- Excellent communication and customer service skills.
- Strong organizational skills and attention to detail.
- Proficiency in software applications like Box, Google Docs, and Microsoft Office.
- Ability to actively learn and understand the implications of new information for problem-solving and decision-making.
- Prior experience in event management is preferred.
- Ability to meet consistent attendance.
- Ability to interact with colleagues, supervisors and customers face to face.
WORKING CONDITIONS
General office environment with occasional need to carry boxes and lift supplies when traveling for conferences or Shaughnessy Nurse Leadership Academy programs.
