Responsibilities of this position include, but are not limited to:
Administrative Support:
- Serve as department hiring manager
- Keep and update the department administrative timeline, handbook, and policies
- Create and submit the class schedule in coordination with the associate chairs
- Provide and train faculty and student staff with correct information on University policies and procedures.
Office Management:
- Hire, train and supervise student secretaries
- Handle email correspondence relating to department programs.
- Provide general information to students and parents with questions about department program requirements
- Inform faculty of important dates and upcoming deadlines.
- Order supplies as needed
Finances:
- Maintain the department budget
- Manage the department’s purchasing and campus card transactions and help with faculty travel
- Oversee the tracking and awarding of department scholarships
- Provide reliable financial information to chair and associate chairs as requested
- Prepare and submit adjunct faculty contracts and student employee eForms
Faculty Support:
- Assist in the department’s recruiting and outreach efforts
- Offer support for teaching and assessment practices
- Assist with the planning of various department events
- Provide assistance to student instructors.
- Monitor grade submission
Education/Experience:
Required: Bachelor’s degree plus two years office administrative work experience or the equivalent combination of education and office experience.
Preferred: Bachelor’s degree with additional 5 years’ experience in combination of administrative and finance work
Skills, abilities, knowledge, licenses, certifications:
Required:
- Proven proficiency in administrative and financial support functions
- Computer skills and demonstrated proficiency with MS Office, Word, Excel, Outlook
- Ability to prioritize work and meet deadlines
- High level of writing and verbal communication skills, strong decision-making ability, and attention to detail
Preferred:
- Supervision experience
- Experience in scheduling travel arrangements
- Familiarity with university systems (financial, travel, HR, etc.)
