Job Summary
The Division Office Manger provides administrative and budgetary support for the Advanced Manufacturing and Skilled Trades divisions within Academics and Workforce Development.
Job Duties:
1. Position supports Assistant Deans of the Advanced Manufacturing and Skilled Trades divisions.
2. Prepare semester contracts for adjuncts and full-time faculty overloads. Distribute and collect new hire paperwork for adjuncts, including verifying documents.
3. Track departmental budget and order departmental supplies. Primary cardholder for the division (responsible for pro-card edits and paperwork). Enter travel reimbursements and purchasing vouchers.
4. Perform general administrative support duties for the division (e.g. attend division meetings and prepare minutes, room reservations, order toner and paper for printers, place printer service calls, place IT work orders, etc.).
5. Data entry – attach instructor names to classes in PeopleSoft.
6. Provide guidance and support to faculty and adjuncts as needed (e.g. password resets, questions about verifying attendance, entering grades, posting cancelled class signs, etc.).
7. Serve as division receptionist for Advanced Manufacturing and Skilled Trades division (greeting students, answering general student questions, answering the phone, etc.).
8. Position involves covering general campus duties during lunch hours and when campus assistant is out of office. (answering phones, greeting visitors, and assisting with campus hosting)
9. Other duties as assigned.
Minimum Qualifications:
- Associate's degree (related field) and one year of related experience, or equivalent.
