Job Title: Event Assistant
Reports To: Sr. Event Producers, Tolo Events
Start date: ASAP
Location: Seattle, Georgetown Neighborhood
Schedule: 40 hours a week
Classification: Full Time/Salaried, Exempt
Salary Range: $45,000 - $55,000 DOE
Vacation Time: 5 days
Paid Holidays: 8 days
Paid Sick Time: Yes, per City of Seattle guidelines

Job Summary
This position is primarily responsible for assisting executive staff and senior event planners/designers. This position will work directly on events, coordinating specific aspects as assigned by the event lead including ordering rentals, designing floorplans, etc. This position will have some client contact, primarily at meetings.
The ideal candidate is expected to take initiative, be a self-starter, and be able to work independently of others. Must maintain professionalism, show flexibility, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines.
Key Responsibilities
Responsibilities and essential job functions include but are not limited to the following:
- Assist event and design leads and serving as support staff, taking notes at meetings and doing follow up research and order placement.
- Provide administrative support, including special projects and tasks related to each event
- Assist event and design leads to perform tasks on event timelines as requested for a variety of special events.
- Responsible for success of assigned aspects of an event or project.
- Plays a crucial staff role onsite at events, including load in and load out.
- Establish and maintain excellent customer service with clients and vendors.
- Attend team meetings and training sessions as needed.
- Additional special projects and administrative tasks as assigned
Qualifications
- Bachelor’s degree required
- 1 year event assistance and/or administrative support experience a plus
- Advanced proficiency in Microsoft Office Suite required
- Clean driving record in order to drive company-owned vehicle
Required Knowledge, Skills and Abilities
- Must be 21 years of age or older and able / willing to staff events that involve alcohol service
- Prioritize, manage multiple projects, and effectively perform within tight time constraints
- Successfully perform in high stress, fast-paced environment
- Highly developed organization and information management skills required
- Strong attention to detail and quality of work
- Ability to deliver excellent customer service and work with a variety of personalities
- Ability to handle confidential and sensitive information
- Ability to build relationships and work in a team environment
- Must be able to lift, manage, and carry job-related materials
- Commitment and ability to work on evenings, weekends, and holidays
- Ability to work flexible hours including long hours during the events
- While performing the duties of this job, the employee is regularly required to sit, stand, walk, use hands, reach with hands and arms, and talk or hear
- Must have valid driver’s license
- Establish and maintain excellent customer service with clients and vendors
- Commitment and ability to work on evenings, weekends, and occasional holidays
- Travel is occasionally required to staff events. (Including air travel and overnight stays)

- Interact well with all levels of clients, attendees and vendors, often in trying situations or while under pressure
- Be flexible and accept changes on a short notice and tolerate frequent interruptions
- Juggle many different tasks simultaneously

Pay: $45,000.00 - $55,000.00 per year
