Job description
Currently seeking a highly motivated, customer service-oriented Event Coordinator to work up to 30 hours per week eat Thelma Sadoff Center for the Arts. Must be able to work evenings and weekends. Previous event coordination experience preferred but not required. Hours and schedule will vary.
Job Duties:
- Assist Events Manager with event preparations
- Provide tours of the building, and make recommendations to guests based on event needs
- File completed contracts
- Respond in a timely manner to any inquiries via phone or email
- Send follow up emails post event, encourage a review, ask for any photos they may have
- Prepare estimates for events
- Get invoices to accounting in a timely manner post event
- Communicate with other departments such as maintenance and sound, and marketing to obtain necessary event materials or promotions
- Maintain inventory of event supplies: linens, cleaning supplies, tables, chairs etc.
- Do final checks at the day of the event (i.e. tables, technology) to ensure everything meets standards
- Schedule event staff
- Manage preferred catering list by contacting, communicating and filing all necessary paperwork
- Assist in training of event staff, be able to answer questions, provide guidance
- Act as manager on duty to close building
- Maintain labor costs within budget when scheduling
Requirements & Skills
- Ability to perform in a fast paced enviorment
- Problem solving and critical thinking
- Ability to lift, push, pull up to 50lbs
- Working knowledge of Outlook and Microsoft
- Leadership skills
- Attention to detail
- Organization and ability to multitask
- At least 1 year experience working in either events or hospitality
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
