Position: Events Coordinator

Non -Exempt Classification

Wage $17+ DOE

Reports to: Fair Operations Supervisor

ROLE & RESPONSIBILITIES SUMMARY:

As the Events Coordinator, your job will be to build amazing events that bring joy to the entire community! The Events Coordinator would be supporting the Tanana Valley State Fair in all elements of the Events Department. The Events Coordinator works closely with the Fair Operations Supervisor to prepare and produce fun filled year round events. This position has a great opportunity for advancement. Your position as Events Coordinator will include:

ESSENTIAL FUNCTIONS:

  • Planning, promoting, and executing special events such as: Fair Theme Day events (Talent Search, Senior Day Luncheon, and more); Creating, planning, and executing new year-round Events
  • Collaborating with the Volunteer Coordinator and Competition /Games Coordinator in Recruiting, organizing, and managing volunteers for the special events and contests
  • Presenting a professional and personable demeanor when working with the general public
  • Collaborating with PR/ Marketing Coordinator to encourage the general public to participate as needed
  • Originating, developing, and carrying out them related events
  • Responsible for literature associated with special events -- including handouts, flyers, and appropriate signage
  • Encouraging participation in the special events in a variety of ways
  • Collecting and maintaining a list of all special events prizes
  • Creating the special events schedule and distributing it to the Fair Operations Supervisor
  • Reconciling all prize payouts through accounting with necessary information and W-9 if needed
  • Maintaining complete detailed files on events
  • Sending thank you letters or notes in a timely manner
  • Ensuring all special events invoices are submitted to accounting in a timely fashion
  • Hiring and training assistants as needed
  • Must have a genuine interest in the well-being of the Fair
  • Handling Gross sales reporting and compilation as they pertain to events
  • Preparing review documents for Sponsors including numbers and data relevant to their Sponsored Day
  • Providing completed files (i.e. Budget Evaluations) and suggestions for improvements (via Wrap Up Report) regarding events to Fair Operations Supervisor when required
  • Preparing necessary reports for audit as needed.
  • Serve on TVSFA Committees and attend Board Meetings as requested by the Fair Operations Supervisor
  • Serve as liaison between Facilities and staff involved in Events
  • Other duties as assigned.

  • Event Planning and coordination a plus +

  • Must be able to lift 15 lbs. unassisted
  • Teamwork skills – Willing and able to cooperate with team members to support team successes
  • Communication skills – Reads, writes, and speaks English understandably
  • Fair Minded - Have a genuine interest in the well-being of the Fair

SUPERVISORY RESPONSIBILITIES: Support and direction to Competition/ Games Coordinator and Volunteers

WORK ENVIRONMENT: Variable work environment in an office setting and outdoors / indoors

POSITION TYPE AND EXPECTED HOURS:

Part Time to Full time variable schedule can be discussed; on fairgrounds, with hybrid opportunity

TRAVEL: Local area travel to businesses may be required on occasion

REQUIRED EDUCATION AND EXPERIENCE: One year of customer service; knowledge and capability with computer software preferred

PREFERRED EDUCATION AND EXPERIENCE: College degree preferred
