Executive Administrative Assistant
Location: Berlin, CT
We are looking for an Executive Administrative Assistant to support the Sales & Marketing department in its primary and administrative duties. The Executive Administrative Assistant will work as part of a larger sales and marketing team to offer administrative support and perform essential tasks including but not limited to handling interdepartmental communications, preparing reports, creating presentations, managing visitors, and providing support to senior marketing executives. Responsibilities
- Collaborating and working closely with the company’s sales and marketing leaders to understand, facilitate and support the needs of the marketing department.
- Drafting/Preparing correspondence and preparing meeting agendas.
- Scheduling and organizing internal and external meetings including webinars, WebEx and conference calls.
- Coordinating all meeting logistics such as conference room bookings, catering orders, preparing agendas, meeting materials, and assisting with the creation of presentation materials.
- Assisting during meetings by coordinating with IT to set up audio/visual requirements and documenting action items that require follow-up.
- Assisting with the setup, facilitation, and completion of marketing events.
- Managing visits, answering enquiries, and welcoming customers with a warm demeanor.
- Managing travel arrangements including accurate and timely submission of expense reports for senior executives through SAP/Concur.
- Processing invoices.
- General tasks for the office such as answering phones, stocking general office supplies for the team, and sending outgoing mail.
- Maintaining department organization chart and email distribution lists.
- Completing various projects and ad hoc duties and requests as assigned.
Requirements, Skills, and Abilities
- Proficient in Microsoft Office suite (Outlook, Work, Excel, PowerPoint, Teams etc.)
- Ability to quickly learn systems and applications.
- Ability to manage competing priorities and meet deadlines with a sense of urgency.
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Ability to build relationships with stakeholders, including executives, senior leaders.
- Demonstrated proactive approach to problem-solving and strong critical thinking.
- High degree of integrity and accountability with a proven ability to handle confidential information with discretion.
- Adapt to quickly changing priorities, various competing demands, and demonstrate the highest level of customer service and response.
- Highly resourceful team-player, with the ability to also be extremely effective independently.
- Excellent written and verbal communication skills.
- Positive, proactive attitude; Punctual and dependable; Meticulously thorough and accurate
- High energy with the ability to keep up with a fast-paced working environment.
Education and Experience
- Associate or bachelor’s degree preferred in related field such as marketing or communications. High school diploma required.
- 3-4 years of relevant / administrative assistant experience.
- Experience directly supporting and working with C-suite level executives.
