Overview:

Reporting to the Director of Administration, the Executive Administrative Assistant will support the CEO, COO and General Counsel and serve as liaison to the Board of Directors providing critical, high-level support. This individual will oversee the CEO and COO’s schedule including coordinating meetings, developing internal and external communications, serving as a resource both throughout the organization and externally, and coordinating special projects as assigned. This position requires an elevated level of attention to detail and confidentiality.

Responsibilities:

Essential Duties and Responsibilities:


  • Provide detail-oriented administrative support to the CEO, COO and General Counsel as a member of the administration department.
  • In the absence of and/or assigned by the CEO or COO, make appropriate decisions and be a liaison regarding urgent office management matters and/or identify resources to address issues or concerns.
  • Maintain the CEO and COO’s calendar scheduling and coordinating meetings
  • Draft correspondence, prepare required materials for meetings, events, proposals, and reports. Create presentations for meetings.
  • Ensure prompt, accurate and appropriate follow-up responses to these correspondences.
  • Coordinate logistics for the Board of Directors, staff, and various committee meetings, which include preparing meeting minutes, agendas, and information packets, as well maintaining flow and organization during meetings, and troubleshooting IT issues when needed with IT department. Maintain effective communication with the Board of Directors.
  • Create and submit expense reports.
  • Manage and keep inventory of supply ordering and storage at Lawrence Street location.
  • Liaison for outside vendors at Lawrence Street for assignments related to our floor of the building
  • Facilitate positive relationships with external and internal constituents and staff as representative of the CEO, COO and General Counsel. Other projects and duties as assigned by the Director of Administration.
  • Special projects or tasks as assigned by CEO, COO and General Counsel.
    In collaboration with the Director of Administration, assist with ensuring that there is adequate coverage and support for the reception staff at Lawrence Street.

The position has no direct supervisory responsibility.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type/Expected Hours of Work

This is a full-time position.Days and hours of work are Monday through Friday, 9:00 am to 5:00 pm. Occasional evening and weekend work may be required as job duties demand.

Travel

Will primarily be located at 151 Lawrence Street location in Brooklyn, but travel may be required to the Yonkers’ campus when needed or if special projects arise.

Qualifications:
Required Education and Experience
  • Bachelor’s Degree required
  • Minimum of five + years of work experience
  • Strong electronic file management experience is a plus
  • Familiarity with setting up departmental systems
Expert of Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.)

In-Person (Brooklyn Location)

Annual Salary $80,000.00
