Job Summary
The Executive Administrator position performs advanced, diversified, and confidential administrative support to the Senior Vice President Controller and various members of his direct team. This position provides advanced administrative support requiring comprehensive knowledge of the enterprise, finance function and key stakeholders across the business teams. This person also performs various duties in support of our quarterly financial process.
Essential Job Duties
  • Directly supports the SVP Controller and various team members with administrative activities including calendar management, travel arrangement and itinerary coordination, meeting document preparation, expense report creation, etc.
  • Responsible for quarterly duties supporting financial processes including setting meetings, administering certification process and note taking at certain meetings in support of the Assistant Controller’s team.
  • Assists in project work to include coordination, gathering necessary data from leaders and team members, and creating report presentations.
  • Facilitates smooth and effective communications among executives, their teams and third-party vendors.
  • Prepares, composes, and initiates correspondence, presentation material, and reports for internal leaders.
  • Organizes and prioritizes workload and meets deadlines.
  • Coordinates events and activities with strategic vendor partners; Proactively manages logistical details for these events and activities.
  • On-boards new hires and contingent workers and terminates access upon conclusion.
  • Prepares equipment set up for new hires (laptop, monitor, keyboard, mouse, name tag, etc.).
  • Creates Purchase Orders (POs) using Ariba or SAP and receives against them, including budget tracking.
  • Prepares and or edits Microsoft PowerPoint presentations for leaders as required.
  • Arranges key financial meetings and conferences, prepares and distributes agendas, reserves and prepares facilities for local and webcast meetings.
  • Organizes and maintains record and file systems (electronic and paper).
  • Maintains key organizational charts
  • Maintains office equipment; arranges for equipment repair and maintenance; orders office supplies.
Knowledge and Skill Requirements
  • Ability to interact across various levels within the organization—including Executive and C-suite leaders
  • Must be able to exercise discretion while managing highly confidential, sensitive information in a professional manner
  • Strong organizational and multi-tasking skills, written and verbal communication skills
  • High attention to detail and accuracy with the ability to coordinate complicated tasks like event planning
  • Advanced knowledge of Microsoft Office software to include Teams, PowerPoint, Excel, and Outlook, Word
  • Embraces technology and is a proactive and digital thinker, always looking for ways to streamline work and tasks
  • Ability to research and define problems, collect data, establish facts, and draw valid conclusions
  • Ability to support multiple individuals with diverse requirements with adaptability to changing priorities and needs of the team
  • Excellent time management and skilled in independently prioritizing tasks
  • Interacts and has strong relationship and connectivity with CEO Executive administrator. Works collaboratively to ensure key meetings, travel and necessary support are coordinated and aligned
  • Displays a professional confidence and tenacity to achieve tasks and objectives
  • Knowledge of SharePoint, SAP, Ariba and/or Concur preferred
Education and Experience
Associate degree required, Bachelor’s degree preferred; minimum 3 years related experience supporting executive and senior leaders.
Location & Working Conditions: Camden WHQ; candidate will work hybrid work schedule – 3 days in the office and may flex days as needed

The base salary range for this full-time, salaried position is between
$53,100.00 - $85,100.00
An individual’s base pay depends on a number of factors, such as experience, job-related skills, and relevant education or training. Total pay may include other forms of compensation, such as a performance-based bonus and other short- and long-term incentives. In addition, we offer competitive health, dental, 401(k), and wellness benefits beginning on one’s first day of employment.
