The administrative staff at Fidelity play a vital role in the company's success, and the individuals serving in these positions are recognized by their colleagues as key members of their team. This role requires versatility, as the position involves a broad range of administration that impacts our growing organization. As a meaningful member of the Ireland administrative team, you will support members of the Senior Leadership team as well as play an integral part of our site wide planning, organization, and events
The Expertise We’re Looking For
- At least 5+ years of progressive administrative experience supporting leaders at multiple levels of an organization in a corporate environment.
- Bachelor’s degree preferred but not required.
- Proficiency in Microsoft Office suite of products including Outlook, Word, PowerPoint, Excel, and SharePoint.
- Detail oriented with strong communication and organizational skills.
- A proactive and creative approach willing to assume responsibility for a broad range of administrative projects.
- A self-starter with the ability to take initiative in a fast-paced and change-oriented environment.
- A proven track record of working collaboratively and optimally with various personalities.

The Purpose of Your Role
- Handling and prioritizing complex executive calendars across multiple time zones.
- Supporting leadership with domestic and international travel plans (including visa requirements), visitor hosting, expense reporting, purchase orders and invoices, reports, surveys, minute taking.
- Coordinating meetings internally and externally, preparation of agenda, meeting facilities, catering and distribution of materials.
- Supporting the onboarding of new associates.
- Supporting team meetings and events, such as All Hands meetings, within the areas you support.
- Creating Microsoft PowerPoint presentations for meetings and events based on the content provided.
- Ordering supplies and providing on-site support for Ireland associates (when we are back to working in the office).
- Assist / back-up other administrative team members and work closely with them to ensure alignment.
- Active support of a dynamic workforce, including working with FREC in relation to equipment and supplies procurement, space coordination, and scheduling assistance.
- Assist in special projects as required.
