Summary:
We are looking for a team-oriented, highly organized, and proactive individual to provide a full range of administrative support for the VP Total Rewards and the Total Rewards Organization. The successful candidate will have strong organizational skills and “customer” mindset. This position reports directly to the Vice President of Total Rewards and works collaboratively in support of the full Total Rewards leadership team. Executive Assistants at Kimberly-Clark provide a broad range of skilled and confidential administrative support to ensure smooth operation of the business/function. The incumbent must maintain strong interpersonal relationships in working effectively with team members at all levels of the organization and a high level of confidentiality is a key asset for the position.
Role Accountabilities:
This position takes work direction from the VP Total Rewards; works closely with the Sr. Director, Global Compensation, Sr. Director Executive Compensation and Total Rewards Chief of Staff.
- Provides a high level of executive administrative skills, normally acquired through an accredited college and/or prior work experience. This individual also handles highly confidential information including HR Works independently on special assignments and maintains smooth operation of the office responsibilities of the executive. Operates independently in absence of the Executive, calling on staff when required. Assists and advises the Executives of any problems arising during absence.
- Manages the Executives calendar, responding to requests for time and rescheduling when necessary. Makes appointments, domestic and international travel arrangements, assembles packets of information and prepares materials including itineraries.
- Arranging, scheduling, updating, organizing, and coordinating meetings both domestic and international, coordinating with other regions/time zones.
- Planning, assisting events, including reserving, and setting up rooms, planning activities, preparing materials, and other related activities.
- Coordinating complex travel arrangements including booking of flights, hotels and car reservations, and other documents as required for staff to travel to global locations (visa requirements, immunizations).
- Preparing and reviewing expenses, reports, spreadsheets, presentations, and finished documents relevant to director's assignment.
- Recruitment Support – coordinate with recruiters scheduling onsite/virtual interviews with candidates & debrief calls.
- Onboarding & Offboarding support within the teams - leading onboarding activities for new hires and assist with offboarding activities for employees & contractors departing.
Leadership
- Exhibit professionalism and responsive attitude, demonstrating commitment to quality.
- Provide prompt and accurate handling of administrative support to assist internal/external customers in achieving their individual objectives, strategies, and tactics.
- Coordinate work assignments/projects among team members and assist and onboard relevant new employees.
- Maintain effectiveness of varying environments with different tasks, responsibilities, and people
- Promptly reconcile and communicate changes in plans and programs, conditions, requirements of marketplace, competitive activities, issues, and accomplishments that may affect various levels of staff.
- Conduct team adjustments to new changes and adjust to meet requirements of changing conditions/situations.
Functional/Business skills
- Outstanding ability to develop and maintain positive and effective interactions and working relationships at all levels, including senior management and global partners, both verbally and in writing.
- The flexibility and resiliency to work well under pressure, maintain confidentiality, and quickly adapt to rapidly changing needs and priorities.
- Excellent oral and written communications.
- Solid experience in administrative work.
- Proven experience in working with C-Suite Executives.
- Ability to use Outlook, Power Point, Word, Excel, Concur.
- Ability to proficiently use and perform key functions of Microsoft Word, PowerPoint, and Excel software programs.
Background / Experience / Education:
- 8+ years of administrative support in a corporate environment, supporting executive level leaders (i.e., Sr. Dir & VPs).
- 2 years college or equivalent experience.
