Job description
We are looking for an enthusiastic, experienced Office Manager / Executive Assistant to a CEO of a highly innovative newly founded energetic company. The role will suit an energetic, driven, highly organised individual who enjoys a challenge, and understands the needs and asks of a dynamic, growing company. Ideally having previously reported to a CEO.
Key Duties and Responsibilities:
- Complete a broad variety of administrative tasks for the CEO including managing an active calendar and assess priority of appointments, process expenses and reimbursement claims, arranging travel plans, itineraries, and agendas - both professionally and personally
- Managing CEO emails - handle all incoming emails and act upon issues not requiring CEO involvement
- Managing private correspondence will be a daily task
- Work closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately
- Be prepared to respond promptly to a variety of last minute requests from CEO and Leadership Team
- Responsible for the smooth running of the HQ Office (Eg. ensure office supplies are replenished, ordering office equipment, provide office access to employees, be point of contact for tradespeople, incoming and outgoing mail and any other office management related activities)
- Support Finance Department w/ payroll, aged creditors and debtors, monthly reporting, managing Concur expense system
- Responsible for issuing employee contracts and onboarding
- Planning and executing team and company social events
Desirable Skills and Experience
- Must have proven experience as an Office Manager or EA to CEO
- Strong organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
- Very strong interpersonal skills and the ability to build relationships with clients, customers and fellow employees
- Demonstrate proactive approaches to problem-solving with strong decision-making skills
- Highly resourceful team-player with the ability to also be extremely effective independently
- Proven ability to handle highly confidential information with utmost discretion
- Have a proactive, can-do attitude, able to adapt and learn in a fast-growing business
- Forward-thinking individual who actively seeks opportunities and proposes solutions
