About the Opportunity

Seeking an experienced and dedicated Executive Assistant to join our growing Digital Product department. Reporting to the Chief Digital Officer, the position will also provide support for the digital department as a whole for administrative needs as well as project related tasks. The ideal candidate will have experience and/or a strong subject matter interest in both the contemporary art and technology fields.

The position will involve contact with a variety of teams at the gallery and therefore excellent interpersonal skills are required, as well as the ability to balance key conversations in a thoughtful and nuanced way. This role provides the opportunity to be part of a quickly growing and innovative team that works closely across global gallery teams and drives ideations forward. A successful candidate should have a proactive mindset, global outlook, and be a polished communicator with fine tuned research, organizational, and problem solving skills.

What you’ll do

Be the Chief Digital Officers right hand by attending key meetings, taking notes, being an active participant and knowledgeable resource, while ensuring executive preparation and effectiveness.

  • Managing CDOs correspondence and schedule with an analytical mindset around time management.

  • Effectively communicate and coordinate with internal cross-functional teams.

  • Foster team culture through planning and executing on team building events and outreach.

  • Plan travel and manage expense reports.

  • Providing administrative support to the digital department:

    • coordinating/scheduling meetings and events

    • managing and processing receipts/expenses

    • procuring materials needed by department staff

    • collaborating with other gallery departmental assistants

  • Assisting the digital team in coordinating the rollout of new digital tools / functionality / processes, along with related user training.

  • Updating content on various digital platforms, including the department wiki.

What we would like you to have

  • The ideal candidate will have a BA degree or equivalent (design/art/technology focus preferred).

  • At least two years related experience or the equivalent.

  • Superior writing and communication skills.

  • Positive energy, willingness to learn and a proactive “can do” attitude.

  • Thorough and detail oriented with the ability to pivot quickly.

  • Strong knowledge of contemporary art and an acumen for technology.

  • Proficiency with the G Suite toolset - Gmail, Docs, Drive, Calendar.

  • Experience working with one or more project / team collaboration tools ideally Notion, Jira, and Slack.

Salary range: $50,000 - $80,000
