The Executive Assistant to the CEO provides various personal and professional duties.
The successful candidate is dependable, well-organized, self-starter with the ability to be proactive and take initiative to prioritize. Must be someone that brings a positive attitude and is willing to pitch in whenever necessary. Should be competent and possess a drive to handle all projects with tact and precision.
Essential Function and Responsibilities:
Administrative
- Assists in Front Desk duties of greeting visitors
- Administer executive calendars including appointments, trips, and activity schedules
- Verifies and confirms appointments
- Prepares and organizes meetings, and social events
- Assists in other personal errands and tasks as needed
- Provides administrative support and assistance at Company events and meetings
- Correspond and communicate effectively with family members, business management, accountants, vendors, travel agent, medical personnel/facilities, insurance companies,
- Track all outstanding action items and projects in a well-organized manner and provide on a weekly basis
Expense Tracking and Travel
- Keeps track of expenses (managing receipts, logs, credit card reconciliation and reimbursements)
- Make travel arrangements to include, flight, lodging, transportation, meal reservations
Office Management
- Opens packages, manages tracking, pending and delivered orders; often large volumes
- Manages files and documentation with the utmost level of organization
- Assists with office duties in the absence of other staff
- Coordinate and handle online orders, deliveries, and returns
- Contact vendors and request estimates, samples, etc.
- Complies with company policies and procedures
- Handle confidential information related to employees and company
- Learns CEO preferences and anticipates needs
- Notifies appropriate personnel of problems and issues
Performs any other functions and duties assigned and necessary for the smooth and efficient operation of the Company
Education & Experience:
- High School Diploma or equivalent Bachelors Degree preferred but not required
- Minimum of 2 years’ experience in assisting Executives
- Valid driver’s license required
Computer/Communication Skills:
- Proficient use of MS Office Products (Outlook, Word, Excel, PowerPoint)
- Tech savvy especially with smartphones and Apple devices
- Advanced ability to perform standard administrative tasks such as email correspondence, scanning, faxing, copier usage, printing, replenishing toner, etc.
- Long or odd hours and weekend & holiday coverage as needed
- Daily schedule will vary with a normal work week of 40 hours
Job Type: Full-time
Pay: $47,000.00 - $55,000.00 per year
