Executive Assistant-Mid (FO)
Background:
The U.S. Agency for International Development (USAID) Administrator provides overall direction to the Agency in its administration of the U.S. foreign economic assistance programs and the appropriations made available for such purposes under the Foreign Assistance Act of 1961, as amended. Scope of Work (SOW):
The Executive Assistant provides high level and confidential administrative support to the Administrator, Deputy Administrator, Chief of Staff, and Deputy Chief of Staff. The Executive Assistant's duties range from basic office tasks such as answering multi-line telephones, managing executive correspondence to more complex tasks such as researching and summarizing information, providing meeting minutes, and assisting on special projects. The individual must be motivated and proactive as well as possess strong multitasking skills. This position has potential for career growth and professional training. To perform this job successfully, the individual must be able to perform each essential duty listed below at a satisfactory level.
Duties and Responsibilities:
1. Provide direct administrative support and assistance to the Administrator and/or Deputy Administrator.
2. Liaise with agency senior leadership on behalf of the Administrator and/or Deputy Administrator to gather information on specific requests.
3. Act as a team player ensuring that priority activities and responsibilities are carried out, including backstop support as necessary in the absence of other office staff and/or provide assistance in comparable positions within the immediate Office of the Administrator.
4. Work with Director of Scheduling and Deputy Director of Scheduling in the management and planning of long- and short-term calendar events and invitations.
5. Prepare all travel related documentation and make travel arrangements on behalf of the Administrator and/or Deputy Administrator.
6. Handle schedule and prioritize daily appointments, meetings, and invitations.
7. Direct various support activities for special events, high level meetings and agency programs for USAID highly distinguished guests and Front Office principals.
8. Respond to routine inquiries and those requiring knowledge of the organization activities or its internal administrative procedures.
9. Diplomatically communicate and present ideas from parties within the Front office and relays information regarding summary of events, results, and next steps.
10. Identify and recommend procurement actions for supplies used to support hospitality services and special events.
11.Route communications, including official correspondence and memoranda, in consultation with the Special Assistant to the Administrator and as directed by the Chief of Staff and Deputy Chief of Staff.
12.Make photocopies, send faxes and e-mails, and perform other routine office duties.
13.Other duties as assigned.
Required Qualifications:
1. Proficiency in the use of Google Applications, E2 Travel Management System, and the Microsoft Office Suite (Excel, PowerPoint, Word);
2. Ability to establish and maintain effective working relationships and interact with people at all management and support levels;
3. Ability to work in a fast-paced environment with competing and shifting priorities;
4. Ability to efficiently multitask and prioritize workload accordingly; and
5. U.S. citizen eligible to obtain a secret level security clearance.
Education:
Bachelor’s Degree is required with three (3) years of relevant experience.

USAID Assumptions and Constraints:
1. The work schedule for this position may include support outside of core hours. The contractor will be notified in advance if after-hours support is required.
2. Ability to telework will be based on office staffing requirements.
