What we are looking for
We are looking for a dedicated and passionate Executive Business Coordinator to be an integral part of the Administrative Support team for AscellaHealth. This position works very closely with the Chief of Staff to ensure comprehensive and effective administrative support for members of the C-Suite. In this role, the Executive Business Coordinator will act as a liaison between the C-Suite, executive leaders, employees, and customers sharing key detailed requests and concerns to ensure their inquiries are addressed. He/she will perform a wide range of administrative and office support activities as outlined under essential duties and responsibilities to facilitate the efficient operation of the AscellaHealth office. To be a successful Executive Business Coordinator at AscellaHealth you should have a pleasant personality, be extremely organized, and be comfortable multi-tasking. You should also be able to proactively problem solve to deal with urgent situations in a timely and effective manner and be willing to learn and grow within the organization. This position is based in Berwyn, PA, and requires 5 days per week in the office with a schedule of 8:30 am – 5:00 pm Monday through Friday.
What the position will be doing
- Provide backup support/coverage for other members of the administrative team when needed.
- Oversee, manage, and communicate all aspects of the assigned C-Suite’s work week.
- Act as gatekeeper for assigned C-Suite Executives to proactively assess requirements for various requests of their time and to understand the Who, What, Where, When, and Why to ensure appropriate and adequate time scheduling.
- Possess foresight and ability to understand the connections between basic tasks and how their completion impacts long-term targets/goals for the C-Suite and the organization as a whole.
- Act as liaison to the Board of Directors, attend Board meetings, take minutes, prepare various materials for CEO's and CFO’s Board reports; work with them and the senior leadership team to prepare materials for Board reports and assist in ongoing communications and activities with the Board of Directors.
- Promptly follow through on issues. Proactively communicate information to C-Suite to ensure smooth business operations.
- Make high-level contacts of a sensitive nature inside and outside the company.
- Manage the assigned C-Suite members’ calendar; schedule and prioritize appointments and meetings to maximize their engagement and ensure the achievement of organizational goals.
- Accompany the assigned C-Suite members to meetings, and prepare agendas, presentations, and other materials. Record, compile, transcribe, and distribute minutes of meetings as requested.
- Organize meetings with clients and C-suite level executives including lunches, dinners (as needed) and occasionally client requests for assistance when visiting the corporate office.
- Screen and manage assigned C-Suite members’ visitors, ensuring appropriate follow-through.
- Assist the assigned C-Suite members in prepping for conferences and events, prioritizing contacts to be made and meetings to be established.
- Draft correspondence, recommendations, reports, and memoranda on behalf of assigned C-Suite members as requested.
- Coordinate travel arrangements (providing scheduling options) including air reservations, hotel reservations, and car rental reservations for assigned C-Suite members.
- Build relationships and liaise with all staff as needed to ensure a smooth working relationship with the Executive Office so necessary arrangements/information is shared.
- Create and modify PowerPoint, Word, and Excel documents as requested.
- Maintain electronic and hard copy filing system and retrieve documents quickly and efficiently upon request.
- Perform other related duties as assigned or as necessary; remain flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs.
Necessary Skills, Education & Abilities
- Associate’s degree, or higher, preferred.
- At least six (6) years of experience in Executive Office support.
- At least ten (10) years of overall professional administrative support experience.
- Excellent written and verbal communication and interpersonal skills are required.
- Able to communicate in multiple mediums with all levels within an organization and with clients and customers.
- Able to be highly transparent, ethical, and driven. Relentless attention to detail, and able to be a creative self-starter and team player.
- Must have advanced computer skills, including Outlook, Word, Excel, and virtual collaboration technologies, like Teams and GoTo meeting.
- Advanced PowerPoint skills are mandatory including building sophisticated presentations using animations, slide templating, and image creation.
- Ability to be flexible and adapt to changing processes and procedures.
- Ability to thrive in a fast-paced environment with constantly changing priorities.
- Excellent analytical skills and the ability to provide solutions to complex problems.
- Ability to think and act independently, formulate, and support new ideas, and champion new initiatives within and beyond the scope of own responsibilities.
