Job Description
Major Duties:
Clinic Operations
- Assist in establishing performance goals and objective for the department
- Maintain daily rounds to ascertain expeditious clinic flow, safety and cleanliness of environment and develop a plan of action to address any outstanding issues
- Monitor patient waiting and cycle time to ensure performance targets are met
- Act as the department liaison with ancillary and clinical services to solve problems and expedites patient care
- Collaborate with the Service Line Administrator, Nursing and Medical Directors to perform related duties and complete special projects
- Work with other departments to ensure effective and smooth interdepartmental operations
- Monitor purchase of all supplies and equipment (any other budget prep/ requirements)
- Maintain, revise and update procedure manuals and standard work as required
- Attend required interdepartmental meetings
- Provide Service Line Administrator and Directors with daily/weekly/monthly performance reports (census, productivity, availability, etc.)
- Actively participate and engage in Breakthrough improvement activities as the Process Owner, Team Leader or Even Facilitator
Staff Supervision
- Supervise staff, monitor staff, monitor time and leave of assigned personnel
- Monitor staff's daily join functions, performance and productivity
- Oversee quality of clerical job functions according to standard work: scheduling visits, opening/closing visits, proper revision of patient demographics (RVO), insurance verification (HFE), patient reminder calls, appointment rescheduling process, overbooking procedures
- Orient and train direct staff on a continuous basis
- Observe staff performance of customer service
- Provide counseling or interpretations of HHC guidelines/policies
- Hold regular staff meeting to update on new regulations or requirements and conduct any required problem solving
- Develop staff problem-solving skills be enabling participation Breakthrough events or other related training/development opportunities
- Ensure staff wears professional attire in the workplace
- Other duties include: Ensuring system availability; monitoring system utilization and capacity performance; providing backups to ensure data safety; generating and maintaining documentation.
Regulatory Compliance
- Meet all corporate and facility compliance standards and requirements
- Responsible for wearing professional attire to the workplace as well as off-site when conducting business on behalf of the network
- In collaboration with physicians, nursing, clerical staff, ensure that FCMA standards are met and sustained
- Adhere to the Vision/Mission/Value Statement of the Organization
Minimum Qualifications
1. A Master’s Degree with a specialization in Hospital Administration, Health Care Administration, Administrative Medicine or in Public Health when conferred for a program in Hospital Administration from an accredited college or university; and,
2. Six years of high-level responsible experience in Hospital Administration, Business Administration, Public Administration or an equivalent field, or as an Assistant to a Hospital Administrator in a position of direct responsibility for operations of a major part or all of a hospital, including substantial exposure in meeting community health needs; or,
3. An equivalent combination of training, education and experience in related fields and educational disciplines; and,
4. Thorough knowledge of the fundamentals of hospital organization, administration and standards, regulations and laws applicable to hospital operations, knowledge of business and human resources administration principles, management functions, management processes and functions of hospital departments, and ability to direct and supervise personnel.
Additional Qualifications
- College graduate with MS/BA/BS
- Strong knowledge of MS Office (Word, Excel, Access, Power Point), Windows, Internet, Linium, SMS. HDS-Misys, EMEV, Fax, Xerox, Document Imaging Scanner,
- Strong written and oral communications skills
- Must have excellent management, organizational and interpersonal skills
- Proficient in budget preparation
- Function as a team player and offer technical solutions.
- Knowledge of computer and communication hardware capabilities and utilization.
- Ability to interact with all levels of clinical providers, business and management personnel and articulate to the end-user community in clear understandable terms.
