Facilities Coordinator
Pay: $25/hr
Hours: 8:00 am to 5:00 pm, Mon - Fri
Location: Onsite - Foster City CA 94404
Duration: 9 months Potential extension
Position Summary:
This position sits under the Global Facilities team and will physically and logistically support meetings, events and furniture moves adds and changes at Illumina Northern California campuses.
Facilities (MAC) Moves Adds Changes / Furniture Support Responsibilities:
- On-boarding support
o Check on seat assignment options; select options or assignment; GIS coordination
o Visually check new hire desk locations
o Update Archibus, maps and MAC’s spreadsheet
o Close On-boarding requests
- Moves / Separations
o Weekly move support: deliver all move supplies; check in with people moving
o Create/move/modify/hang name signs and plates as needed
o Weekly Archibus Move List; update Archibus, maps and MAC’s spreadsheet
- Weekly Lab Move Coordination
o Update Tracking Spreadsheet daily
o Receive request from lab department via Work Request; obtain quote from Corovan; confirm PO
o Schedule Corovan for appropriate date/time; confirm with end-users
o Walk lab, check on items moving, confirm path of travel and gowning, Confirm equipment is prepped and ready, notices are completed, work tickets, etc.
o Oversee Corovan on-site activities; coordinate with lab departments, S&R, Facilities
o Confirm Corovan billed hours to correct PO
o Coordinate with internal Illumina labs for inter-department lab equipment transfers, items going to off-site Storage locations, other sites, etc.
o Confirm lab equipment specs, sizes, utility/specific requirements
- Other
o Update MAC Requests spreadsheet including assisted moves and self-moves
o Respond to service requests/tickets; communicate with end-users/requestor as directed; close tickets
o Work with EHS for ergo furniture requests; sit/stands, special locations, etc.
o Coordination with Furniture Vendor regarding special orders, furniture reconfigures, etc.
o Site audits and updates for signage, white boards, furniture, conference rooms, common spaces, etc.
Meetings and Events Responsibilities:
- Outlook / ServiceNow management
o Assign, schedule & close events in ServiceNow and Outlook calendar
o Calendar management restricted spaces / access & upkeep
- Coordinate and execute all conference room set ups
o Physical set up and tear down of large conference rooms
- Secure conference rooms for teams / projects as requested
- Relocate existing meetings as needed in Outlook
- Assist with scheduling coordination of large conference rooms
- Assist with coordination of event rentals as needed
- Assist with budget tracking for meeting support and logistics
- Maintain monthly event metrics
- Maintain event supplies inventory
- Create badges, signage, and any other supplies needed for internal and external events
- Audits:
o Conduct weekly audits for all conference rooms, breakout rooms, and project rooms.
o Conduct monthly audit of all common / general event areas
- Other duties as assigned
Requirements:
- Able to do physical labor for long periods of time
- Able to stand, walk and lift / move items up to 50lbs for long periods of time
- Proficient in Microsoft Excel, Outlook, PowerPoint and Word
- Outstanding organizational and time management skills
- Project management skills to handle multiple projects, concurrently, with minimal supervision
- Ability to work independently and cross-functionally in a dynamic environment
- Ability to communicate clearly and professionally both in writing and verbally
- Ability to interface with all levels of the company in a professional manner
- Exceptional problem-solving skills
- Willingness to complete a broad range of administrative responsibilities ranging from entry to senior-level
- Knowledge of Archibus and ServiceNow work order management systems a plus.
Education:
- High School diploma or equivalent.
- Minimum of two years of related experience and/or training.
