Karr Tuttle Campbell, a Northwest law firm founded in 1904, seeks an experienced Facilities & Office Service Lead to join our team-oriented administrative staff.
Job Description:
The ideal candidate will have a minimum of 3 years of supervisory and office support experience. Law firm experience is ideal. Candidate must have a great attitude, will be a team player, have a proactive work ethic, excellent oral and written communication skills, will be proficient in drafting, proof-reading, and data entry, and will be detail oriented. Candidate should be familiar with a broad range of office support skills. This position is 100% in person.
This position both performs and supervises the following:
Essential Job Duties:
- Supervise other support staff, firm and office service areas, conference rooms, copy machine projects, incoming and outgoing faxes, general facility tasks, and supply inventory
- Managing the workflow and training for Office Support Staff
- Arranges maintenance service and repairs in multiple areas which include but are not limited to firm copy machines, plumbing, painting, electrical services to the organization’s facilities
- Copy/Reproduction - Reproduction of legal documents (photocopying, printing, and scanning); handling of such documents as requested (for example, placing documents into notebooks and/or numbering); maintain copy machines
- Processing of Mail / Faxes – Incoming and outgoing mail, overnight deliveries; receipt and delivery of faxes
- Conference Rooms - Set up conference rooms; stock with supplies
- Office Moves - Move boxes, files and assist with furniture moves; must have the ability to lift up to 50 pounds
- Assists with Records Management & offsite storage
- Reception Coverage Backup– Answer the phones and close phones; greet and assist clients
- Filing – Support secretaries and paralegals with filing and various projects
- Mailings – Assist marketing department with large mailing projects; some research may be requested
- Assists with firm-wide events
- Accounting Related Projects – Help with mailing and scanning of statements; photocopying & scanning checks; other accounting tasks
- Ensuring that the daily and weekly walk around is performed to quality check maintenance of office standards
- Meetings with Management and all-department meetings
- Head Floor Warden – Coordinates fire drills and various training
- Other duties as assigned
Skills: Computer skills utilizing a variety of software programs including, but not limited to, MS Word, Excel, Outlook and PowerPoint, Adobe and Mimecast. Must possess excellent written and oral communication skills, including grammar, spelling and punctuation. Strong phone etiquette, attention to detail and follow-through skills are required. Must be highly organized, self-motivated, and able to successfully multi-task and meet set deadlines. Strong customer service, ability to be flexible and work effectively as part of a team is required.
Prestigious law firm provides great environment and working atmosphere. The salary range for this position is from $57,500 - $68,000 DOE.
