Summary: The Film Booking Assistant is responsible for scheduling promotional screenings, 4-Wall rentals, Regal Crown Club screenings, and billing screenings, as well as entering PO#’s accurately and timely, tracking payments and outstanding balances, ordering theatre mylars, creating Vista and BOA film codes, assisting in reporting processes, analyzing data, developing reports, assisting in advance sale setup and maintenance, record keeping, attribute requests, and buyer updates. This position reports to the VP of Film Systems & Administration.


Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Regular and Consistent Attendance
  • Scheduling screenings
    • Scheduling promotional screenings for all theatre regions
    • Scheduling 4-Wall rentals for billing purposes as directed by film buyers
    • Scheduling Regal Crown Club screenings for all theatre regions
  • Billing screenings
    • Entering PO#’s accurately and timely for individual screenings
    • Exporting billing records to AX and importing back into FRMS payment records from AX
    • Tracking screening payments and outstanding balances from studios and sending collection emails as necessary and resolving billing discrepancies
  • Theatre Mylars
    • Ordering mylars for all theatre locations using automated software
    • Maintaining theatre mylar master order list using Regal application
  • Creating Vista and BOA film codes per guidelines
  • Assist VP in reporting processes
    • Train in daily reporting processes
    • Analyze data to narrate reporting results
    • Work with VP developing reports to assist in supplying needed information to management
  • Assist in advance sale setup and maintenance
    • Record keeping for on sale dates
    • Vista advance sale rule assignments
  • Assist in maintaining various Vista/BOA database updates
    • Attribute requests
    • Buyer Updates
  • Maintaining various spreadsheets
  • Other miscellaneous duties as assign

Education/Experience:

High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

Language Ability:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on- one and small group situations to customers, clients, and other employees of the organization.


Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.


Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.


Computer Skills:

Excellent computer skills: Microsoft Word, Excel, and database software.
