Summary:

The Radiology Department at Duke is a cohesive group of physicians and staff whose mission is to bring high quality efficient imaging services to Duke’s patients in the Triangle. The Financial Management Analyst (FMA) II will support the department’s mission and will serve as a key organizer of various assigned duties.

Working with Vice Chair for Research and Radiology Administration, the Financial Management Analyst (FMA) II is responsible for the management and oversight of key financial and operational functions that improve efficiency & quality for the Radiology Department’s research division and imaging labs. Duties include, but are not limited to, coordinating the preparation of operational and/or capital budgets, financial reporting and reconciliation, providing assistance with select pre-award and post-award grant activities. and other duties related to day-to day operations of our research division. This position will also provide overall administrative management and coordination of various business-related functions for their assigned unit and/or division.


Work Performed (i.e. Duties):


  • Financial Management & Reporting
  • Monitor budget and grant expenditures; prepare written reports and analyses to management setting forth progress, adverse trends and appropriate recommendations or conclusions.
  • Maintain liaison with appropriate staff to provide financial information and to resolve problems concerning variances from approved budget.
  • Assist in the submission, management, and close-out of sponsored research projects. Create and maintain files of submissions, awards, and research expenditures. Help to resolve administrative problems that may occur during the awarded granting period (which may involve serving as a liaison and relaying questions or concerns to the correct individual)
  • Assist with progress reports and project close-outs following sponsor, department and/or Duke policies.
  • Initiate and manage corporate (i.e. procurement) cards, A/P check request(s), purchase order(s) etc. for assigned research faculty and their imaging lab staff.
  • Complete financial portfolios for faculty to include sponsored programs, professorships, department research support, and discretionary codes. Reconcile accounts which require matching expenses to invoicing and documenting as appropriate.
  • Support your assigned Faculty by preparing and reviewing travel & business expense reports and payment requisitions.
  • Maintains files for projects, which include the contract, subcontract, reconciliations, CAS forms, rebudgeting and any other pertinent information; ensures compliance with departmental, university, and/or regulatory standards.
  • Serve as the liaison for administrative and professional concerns regarding sponsored projects administration and budgetary preparation and control. Advise assigned Faculty on institutional policies for compliant operations.

  • General Administration
  • Serve as the primary administrative liaison to one or more research Faculty as related to day-to day operations of the division. Maintains the Faculty’s calendar, coordinates meetings; including booking space, coordinating schedules, and confirming attendees.
  • Make travel arrangements and accommodations for Faculty to include air, train and hotel reservations. Submits travel requests, reimbursements, and expense reports as required.
  • Routinely update the Faculty’s CV and biographical sketch which includes (but is not limited to) adding grants as they are awarded, journals, and articles as papers are written.
  • Compose letters, memos, and correspondences for assigned physicians as requested.
  • Investigates, evaluates and resolves typical administrative or operational problems or
    situations affecting the work unit.
  • May assist with tracking of vacation/Paid Time Off (PTO) requests and approval of timecards for laboratory support staff; generates reports for Radiology Administration upon request.

  • Operations
  • Assists in the planning and logistical arrangements for forums, conferences, seminars, meetings and/or visiting professorships. Assist in the development and coordination of informational packets for participants. Transcribes and distributes minutes.
  • Responsible for distributing information to staff as needed; posting on bulletin boards and updating door signage when appropriate.
  • Partner with department leadership and HR Departmental representative to resolve personnel problems, issues, and special requests for assigned division.
  • Maintain interface with assigned personnel to coordinate operational activities to ensure adequate space and facilities; coordinate purchasing, maintenance and renovation activities for assigned area.
  • Serves as a liaison with other departments or external parties as necessary to accomplish objectives and/or to complete projects or assignments.
  • Deals with a diverse group of internal callers and/or visitors at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload.
  • Provide cross coverage support to multifunctioning team as requested.

  • Perform other related duties incidental to the work described herein

Qualifications:

Education:

  • Work requires a Bachelor's degree in Accounting, Finance, Economics, Business Administration, Healthcare Administration or a related field. CPA is desirable.

Experience:

  • Work requires three years’ experience in financial management, cost accounting or a field directly related to specialized area of assignment.
  • Additional administrative, project management or related experience in an academic or healthcare environment preferred.
  • Or an equivalent combination of relevant education and/or experience.

  • The ideal candidate will be a highly organized, flexible, and dynamic self-starter.
  • Excellent organizational skills and the ability to prioritize multiple tasks, projects and assignments.
  • Ability to work within deadlines, with limited oversight and direction.
  • Excellent interpersonal skills to interact with a variety of personalities at all levels, exercising tact, sound judgment, and diplomacy to promote positive working relationships and job effectiveness.
