POSISTION: Fleet Assistant
PART TIME: M-F 9am-1pm
PAY: $23-$25/hr

POSITION SUMMARY : Working under the direction of the Director of Facilities and Maintenance. The Fleet Assistant will respond to routine repairs for vehicles and help by tracking and or reporting the repairs needed to the appropriate individual in charge of that vehicle. The Fleet Assistant interacts with internal management and employees in completion of work assignments. Uses safe work practices and maintains confidentiality in performance of all work responsibilities. This position will also be responsible for the GPS tracking devices installed in each vehicle by keeping track of violations or when general maintenance is due and pass that information along to the appropriate person.
RESPONSIBILITIES : FLEET · Maintaining vehicles for programs.

  • Utilizing GPS systems to monitor drivers and track vehicles.

  • Create reports for leadership to analyze the data to increase safety and efficiency from the Enterprise and Geo- Tab web portals.

  • Monitor reports and follow up on violations by notifying Coordinators in writing of any violation.

  • Registering and licensing all vehicles and getting paperwork distributed to the proper person.

  • Maintaining detailed records of vehicle servicing and inspection, and annual photos of all sides of each vehicle when the vehicle is brought in to have inspection sticker attached.

  • Keep records of all accidents including photos of the damage and contacting insurance company as needed; making sure all reporting is complete, accurate, and submitted in a timely manner.

  • Scheduling regular vehicle maintenance to ensure operational efficiency. Helping out agency drivers in case of breakdowns with towing and scheduling repairs.

  • Ensuring strict servicing and maintenance times to minimize downtime and maintain schedules.

  • Help coordinate the training for drivers on wheelchair securing and lift procedures when necessary. Work with insurance company on safe driver training.


    CELL PHONES

    • Assist with cell phone problems as needed by employees.

    • Work with IT on new authorized phone purchases and implementation

    • Maintain authorization forms for IT equipment including phones, tablets, and laptops.

    WATER SERVICES

    • Schedule maintenance for water machine



    OTHER

    • Order and have delivered office supplies including paper products, plastic flatware, bathroom and cleaning supplies, trash bags etc. Store all supplies and purchases as directed

    • Performs other duties as assigned by the Director of Facilities and Maintenance

    QUALIFICATIONS: · High school diploma and/or GED· A minimum of 3 years general office experience· Knowledge of repair and maintenance services requirement for vans and automobiles is highly desirable· Excellent customer service and communication skills to establish effective working relationships with employees and outside vendors· Must be able to perform duties independently, meet work priorities and deadlines· Strong knowledge of Microsoft Word, Outlook and/or Google email is required.· Must be able to handle a variety of people and situations calmly, professionally, and confidentially· Demonstrates flexibility, adapting to frequent changes, delays or unexpected events· Ability to make basic judgments consistent with standard practices, policies, and procedures· Outstanding organizational skills.

    Position will require moderate sitting, standing, walking, and occasional driving to run errands. On a weekly basis, the approximate standards include the following and are dependent on required workload: ̶ Sitting 65%̶ Standing/Walking: 25% or more̶ Lifting: 1% or more ̶ Twist/Turn/Squat: 5% or more ̶ Forearm Rotation: 4% or more̶ Transportation: As needed depending on responsibilities
