Receptionist

Established in 1958, The Birchwood Club is one of the longest-standing premier clubs on Chicago’s North Shore. Situated on 12 acres of beautifully landscaped property is a comfortable, relaxing getaway in the heart of Highland Park. The Birchwood Club offers the area’s finest racquet sport programming, swimming, and exceptional dining and social events.

The Birchwood Club's Receptionist is responsible to assist members and guests in all front office-related areas in an efficient, courteous, and professional manner that maintains high standards of service and hospitality. Answer incoming calls effectively; forward phone calls to other club extensions or voice mail boxes or take messages from callers. Greet members and guests who are visiting the club.

Reports to: Executive Administrative Assistant

Supervises: No supervisory duties are included in this position.

Core Competencies and Expectations

  • Excellent customer service skills and an open, courteous and friendly personality required
  • Excellent oral and written communication skills
  • Must have working knowledge of using and programming multi-line telephone equipment and reservation systems
  • Must be able to type and efficiently, use word processing, excel, and outlook
  • Must be able to efficiently handle multiple tasks concurrently while meeting deadlines, prioritizing tasks and providing excellent member service

Job Tasks/Duties:

  • Greet all visitors and direct as needed
  • Answers, directs and assists with all incoming calls/emails
  • Log, monitor and communicate all dining and event reservations
  • Administers confirmation calls for events and dining operations
  • Update and print food and beverage menus, signs, place cards, buffet cards, etc
  • Assist with designing flyers for events
  • Assist with taking event pictures as needed
  • Assist the Executive Administrative Assistant with filing and clerical needs
  • Assists and composes email communications to the membership
  • Coordinates member locker assignments and ensures lockers are being billed correctly
  • Reports unusual occurrences or requests to the General Manager
  • Familiar with all safety and emergency procedures and accident prevention policies
  • Maintains the cleanliness and neatness of the front-desk and lobby areas
  • Performs other appropriate tasks assigned by the Executive Administrative Assistant

Competencies and Qualifications:

High School diploma or GED or higher

Prior reception experience preferred

A minimum of 1 year in customer service, club, or hotel industry setting

Excellent interpersonal and communication skills

A strong desire to be visible to our membership and provide optimal member service

Ability to work a variety of shifts as needed (i.e. day, night, weekend and holiday)
