Freedom Within Therapy and Wellness Center is seeking a Client Care Coordinator to provide extraordinary customer service. Responsibilities include answering all phone calls and emails quickly and kindly, making existing office systems more efficient. Candidates should be great communicators who are driven and have great time management skills. Freedom Within is a group therapy practice, we offer individual and couples therapy to adults. A large number of our clients are active duty military, Veterans and young professionals. Our practice focuses on treating PTSD, trauma, anxiety, relationship concerns, postpartum and transitional issues. The office is located at 2650 Camino del Rio N. San Diego, CA 92108 (in Mission Valley).

Duties/Responsibilities:
- Manage intake calls (respond to phone and email inquiries, schedule intake appointments with appropriate therapist, answer practice related questions).
- Coordinate with clinicians on filling their schedules.
- Utilize excel sheets for tracking various items
- Utilize CRM for tracking client inquiries
- Provide direction to clinicians and administration teams on best practices for improving intake processes and taking initiative in implementing improvement measures.
- Stay highly organized with extreme attention to detail and ability to prioritize various projects independently.
- Provide support with billing and health insurance verification - providing information to clients on health insurance benefits and costs
- Manage authorizations for services from professional referral sources, updating and tracking.
- Documenting into an EHR system.
- Ability to handle and provide straight-forward feedback to the administrative team members.
- Be a problem solver and think ahead to ensure any challenges don’t greatly impact progress or outcomes for clients.
- Ability to set goals and develop achievable timelines to hit them.
- Helping maintain neat and tidy office space
- Other duties as may be assigned.
Qualifications and Skills:
- Knowledge of the mental health field, sensitivity to the population and how to achieve client satisfaction.
- Must have excellent customer service skills and be comfortable taking phone calls and contacting clients.
- Must be VERY VERY detailed, organized and have systems in place to track calls and schedules.
- Comfortable with excel and word.
- Experience in healthcare and comfort with HIPAA laws and confidentiality are highly encouraged.
- Be able to lead and manage client intake and scheduling.
- Must be punctual in reporting to work.
- Passion for working with others (being collaborative) and helping our team members grow and learn.
- Be a team player.
- Be able to work independently on tasks assigned and take initiative on projects.
- Have strong written and verbal communication skills and strong interpersonal skills.

Compensation:
- $38,000-$44,000 annual salary. 40 hours/week.
- Schedule is Monday-Thursday 8am-5pm / Friday 8-4pm in the office (no telework).
