The Summit Sky Ranch (SSR) Homeowner’s Association (HOA) is excited to announce the position opening of HOA General Manager (GM). The HOA GM will be an employee of the HOA, reporting directly to its Board of Directors (BOD), tasked with upholding the strong community standards and rules of SSR, while providing positive leadership to and in support of the HOA's dedicated staff.

The GM is the single point of contact to the BOD for the Association operations, programs and staff, taking direction from the Board and performing all responsibilities outlined below on behalf of the Association's Board, while assuring compliance with the declaration of covenants, rules, regulations, and all Colorado HOA laws. The list below is meant to outline the general responsibilities of the HOA GM. This list is not all inclusive and the Board has the right to add additional job responsibilities to this job description. The GM must have or agree to pursue/obtain accreditation as an Accredited Association Manger in Colorado.

Accounting

The GM will ensure that an accurate accounting of the Association’s financial transactions will be performed by relevant staff, the GM (when applicable), and/or the Association’s accountant/bookkeeper, and completed in a timely manner and provided to the Board. This shall include:

Due Collections/Reconciliation ‐ Reconcile the Association’s accounting information to bank statements. Maintain records regarding late homeowner payables, fines & fees. Aiding in lien file notices and lien releases. The GM will oversee regular accounting and bookkeeping, including cash flow management of all Association accounts.

Accounts Receivables and Payables Processing ‐ Invoice management to be completed through HOA software. Collection and review of all invoices for accuracy and completion of contracted services. Disbursement of funds for all proper charges and authorized obligations. Coordinating and maintaining all HOA bank accounts.

Accountant Oversight ‐ Oversee accountant as they file monthly/annual tax payments/returns and issue 1099s.

Financial Statements & Reporting ‐ Prepare monthly reports to the Board ‐ Profit and Loss statements vs. Budget. Prepare annual budget. Oversee reserve account and alignment with reserve study.

Staff Payroll ‐ Coordinate with payroll administrator to ensure proper payroll and benefits administration.

Short-Term Rentals (STR) ‐ Oversee STR Director as they file tax returns and processes owner payouts.

Administration

The GM will ensure that all HOA administrative processes, procedures, and tasks will be maintained and performed by relevant staff members, consultants, and the GM (when applicable) and then reported to the Board and completed in a timely manner. This is including, but not limited to:

Association Work Sessions – Attend and facilitate all Association work sessions, typically held the week prior to the Association Meetings, to include draft discussion topics, draft Board packets, provide draft meeting agendas, etc.

Association Meetings ‐ Attend and facilitate all Association meetings to include actively engaging in discussion, taking minutes, proper notification, creation of board packets, provide meeting agendas etc.

Maintain Records & Files for HOA ‐ Including all Association documentation and recordings. Updating all owner contact information. Managing emergency contact. Updating owner website.

Owner & HOA Interaction ‐ Manage all homeowner communications on behalf of the Association and Board.

Onboarding New Owners ‐ Onboard to Association including acting as a liaison with homeowners, realtors, mortgage companies and title companies, when properties are sold or refinanced, and issue status letters and other reports as required.

Covenant/Rule Enforcement ‐ Enforce the terms of the Declaration of Covenants and all HOA rules and regulations. Maintain logs of progress of the Declaration and rule enforcement issues. Send notices of violations and follow up on compliance. Inform Board at meetings.

Insurance ‐ Maintain records of all insurance carried by the Association. Cooperate with insurance company on investigations, reporting of accidents, claims for damage, and filing of claims.

Design Review Committee (DRC) Administration ‐ Receive and forward all applications to DRC and present to HOA board when required. Keep records of DRC applications and send notices to owners of approval or required follow up.

HOA Election Preparation ‐ Organize and administer any Association elections. Coordinate Declarant Control Handover.

On Site Property Management

The GM will ensure that all HOA on-site facilities, infrastructure, and property management tasks will be maintained and performed by relevant maintenance staff, consultants, etc. and reported to the Board and completed in a timely manner, including but not limited to:

Property Maintenance ‐ Ensure daily walks and perform assessments of association property and common areas. Oversee routine maintenance and inspections of property by HOA maintenance team including but not limited to pool/hot tub maintenance, cleaning of buildings, trash pickup, opening/closing of building, geotechnical inspections and other associated third-party building inspections. When maintenance issues cannot be fixed by HOA maintenance staff, GM will be responsible for managing outside vendors in conjunction with HOA maintenance staff.

Inspections ‐ Driving around the project, assessing conditions of exterior and violations; checking common areas for maintenance issues and violations; walk‐through inspections during contracts to assess status of work, and address non‐compliance issues; walk through for visual inspection of completed contract work and interior work to certify correctness and acceptability. Administer violations and work with homeowners to address issues.

Manage Sub‐contractors ‐ Prepare bid specifications, solicit bids, review bids, check references of bidders and make recommendations to the Association. Administer contracts between Association and contractors. Administer bids, summation of bids with recommendations to the Board. Communication with contractor on performance issues. Inspecting work for completion.

Manage Maintenance Staff

Assist with STR & Security Check Programs

Events ‐ Ensure appropriate set up or tear down of event activities by relevant staff.

STAFF MANAGEMENT AND LEADERSHIP

Oversee and provide strong leadership for all HOA staff to include monitoring day to day work, job performance, staff resources/needs, yearly staff reviews, staff meetings, and fostering a positive and supportive work environment. Responsible for hiring/firing staff in conjunction with other department heads and in consultation with the Board of Directors when necessary.

The successful candidate will exhibit exceptional leadership, communication, negotiation, and people management skills towards staff, homeowners, renters, and contractors.

This is a full-time position requiring on-site presence within the SSR community within business hours.

Job Type: Full-time

Pay: $105,000.00 - $120,000.00 per year
