The role We are looking for a Global Payroll Manager to join our Finance Team.
The Payroll Manager is the global payroll lead, accountable for payroll across four countries (US, UK, Ireland and Portugal). You will be responsible for the functional ownership and day-to-day operations for the delivery of payroll services in the US and oversee payroll in the UK, Ireland and Portugal. This person will operate with a high level of statutory compliance while executing payroll in a timely, accurate and efficient manner. You will be responsible for establishing overall payroll process improvements, maintaining compliance with federal, state, and local payroll requirements, and coordinating the execution of bi-weekly, monthly and annual payroll processes. The Payroll Manager requires strong partnerships with internal and external stakeholders ensuring a common understanding of all the transactions impacting payroll. This will require interacting with all levels within the organization, providing reporting and other duties as necessary.

Key Responsibilities
Main Accountabilities

Ensure timely and accurate payroll delivery globally, through efficient communication to internal and external stakeholders of all transactions impacting payroll and by providing clear deadlines

Ensure that payroll processes are compliant with local requirements and company policies, and that they are reviewed regularly, improved when necessary and appropriately documented and communicated internally

Ensure that the services provided by our PEO provider (US) and other third-party providers (UK/Ireland/Portugal) are adequately controlled and improved where necessary

Ensure that issues related to payroll are escalated, resolved and communicated on appropriately

Ensure that team members’ questions and concerns regarding payroll (process, tax, benefits or platforms) are answered accurately and in a timely manner

Ensure communication and collaboration with the People team for all team members’ data and compensation-related matters.

Responsibilities

Lead the payroll processes and compliance globally - approx. 50 team members across 10 states in the US, 140 team members in the UK, and a very small number in Ireland and Portugal. This means defining and owning procedures for each pay run to happen smoothly, for employment updates (new hires, termination, salary changes) to be incorporated appropriately, and for new compliance requirements to be captured

Coordinate all duties necessary for payroll processing of bi-weekly payroll for US team members using ADP PEO services and of monthly payroll for UK, Ireland and Portugal.

Control and sign off payroll ahead of each run, including proper taxation, statutory withholdings and voluntary deductions, such as 401k and pension payments.

Efficiently manage relationships with all third parties involved in payroll delivery: PEO, payroll service providers, 401k and pension vendors, and eventually HR management software

Own all payroll related communications internally: provide clarity on payroll processes and benefits at all levels of the business and in particular for new hires, provide day-to-day support and resolution for any queries on all payroll matters, proactively communicate with team members, managers and People team as necessary

Partner with the rest of the Finance team regarding general ledger entries, payroll liabilities reconciliation, state/local tax compliance, annual / ad-hoc audit support, reporting inquiries and other projects as necessary

Keep up-to-date on all payroll industry trends and best practices applying this knowledge to our processes and identifying areas for improvement

Key Requirements

You’ll have experience within a payroll role or department

You’ll have strong working knowledge of payroll best practices, guidelines and compliance including multi-jurisdictional tax management

In particular, you’ll have good knowledge of US specific legislation and regulation in the field including federal and state guidelines and 401k and other retirement vehicles

You’ll be able to upskill on local requirements for the UK, Ireland and Portugal

You’ll have strong analytical, reporting and MS Excel skills (if statements, vlook-ups, pivot tables, conditional formatting, etc.)

You’ll be comfortable with documentation of business process and gathering of business requirements

You’ll have a proven ability to manage a wide range of priorities

You’ll be a confident communicator, able to talk through complicated topics to a wide audience of team members
