Responsibilities
Are you looking to start or expand an exciting career in HR? This is a 12-month temporary assignment with opportunity to explore for permanent roles within IGT. This role will support the global Talent Management team including Talent Acquisition, Talent Management and Development and People Communications.
Responsibilities would include creating purchase requisitions and purchase orders to facilitate procurement, legal and accounting processing of vendor expenses. Scheduling of candidate interviews and Learning Management System (LMS) support to track training are also included in responsibilities. Some admin duties such as scheduling of global team meetings, ordering catering etc. Opportunity to learn about Human Resources programs and processes. The candidate will report to the VP of Talent Management and will work closely with the rest of the Talent leadership team.
Essential Duties & Responsibilities:
- Work directly with vendors to establish PO’s. Ensure invoices are billed to correct entities. Add new vendors when needed. Work closely with accounts payable to process, pay and track invoices. Proof invoices to ensure correct cost center and GL is used. Coordinate monthly expense accrual input if needed. Code and forward invoices for approval (MediusFlow system)
- Manage onboarding process for new vendors. This includes working with procurement and legal to create and/or update vendor agreement, statement of work, and completion of new vendor checklists.
- Retrieve, download, process, track, and escalate invoices.
- Provide administrative support for day-to-day operations and coordinate high value / cross-functional initiatives and projects.
- Provide support in scheduling candidates.
- Provide support with Learning Management System (LMS) and running of training program reports including inputting of data if necessary.
- Assist with office management within area of responsibility – including ordering of office supplies, catering, etc.
- Manage various vendor and licensing relationships, including education subscriptions, continuing education.
Qualifications
- Advanced experience with Microsoft Office (Outlook, Word, PowerPoint, Excel)
- Ability to successfully manage multiple projects simultaneously
- Highly organized, detail-oriented self-starter who is resourceful and can operate with sense of urgency
- Strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting, and competing priorities with minimal supervision
- Build strong working relationships with colleagues, team members and staff
- Experience with SAP and MediusFlow or similar invoicing software is highly preferred
