Job Summary
The Office of the Vice Chancellor for Diversity, Equity & Inclusion (OVCDEI) at the University of Illinois is seeking a Human Resource Associate. The Human Resource Associate will execute the human resources activities for OVCDEI and reporting units, including the Office for Access and Equity (OAE), the Title IX Office, the Office of Academic Inclusive Excellence (AIE), and all related programs.
Duties & Responsibilities
- HR – Hiring Support, Appointment Administration
Serve as primary contact for all hiring activity within OVCDEI Units, including but not limited to providing input on position development, reviewing Job Descriptions for consistency across all units, interview participation and coordination, offer letters, and onboarding. Responsible for end-to-end search documentation and approvals in JDX and Cornerstone including, employee requisition forms, reference checks, and background checks. Oversee recruitment advertising sources and ensure search committee training status.
- HR – Employment Processing
Process new hires, including completion of the I-9 form in Tracker and assisting employees with Nessie New Hire forms. Process changes to employee records, Service-In-Excess/Lump Sums, pay rate changes, re-appointments/separations in HRFE. Process pay adjustments as needed in PARIS and/or ANA. Serve as a back-up for tracking, managing, and processing annual reappointments. Serve as a back-up for updating and monitoring academic employees’ benefit time usage as needed and reporting to Banner biannually. Serve as back-up for timesheet routing and approvals.
- HR – Employee Records and Training Management
Coordinate monitoring of office compliance in areas such as: Performance Reviews, Ethics Training, ANCRA training, and RUNA submission. Provide draft versions of annual Salary Letters to Executive Director of Finance and Administration for review and distribution. Ensure complete and accurate personnel files for all units, including regular reviews for consistency in file naming conventions, position and/or job description changes, and most current performance reviews.
- HR – Internal Process Development and Implementation
Collaborate with OVCDEI Business Team to develop and distribute internal procedures and templates for use in the OVCDEI search processes to improve efficient operations within the department. Serve as a resource to OVCDEI leadership by supporting cohesive and consistent HR processes across all units.
Minimum Qualifications
- Bachelor’s degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration, or a field closely related to the position.
- Two (2) years (24 months) of work experience performing professional-level human resources duties.
Preferred Qualifications
- Two years of progressive work experience that demonstrates strong ability to research, interpret, and make recommendations based on HR policy
- Experience providing human resources support and coordination
- Familiarity with University HR Systems, BANNER, HRFE, Cornerstone, JDexpert, I9 Tracker, ANA, and PARIS.
Knowledge, Skills and Abilities
- Demonstrated ability to manage high volume and time-sensitive workload:
- Demonstrated ability to communicate effectively both verbally and in writing;
- Demonstrated ability to maintain confidentiality and neutrality in sensitive situations;
- Excellent interpersonal skills;
- Knowledge of University and Campus policies related to Human Resources including but not limited to those listed in the Campus Administrative Manual, Provost’s Communications, and Policies and Rules;
- Knowledge of BANNER, HRFE, HireTouch, I-9 Tracker, ANA, PARIS, and VSL

Appointment Information
This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 5/1/2023. Salary is commensurate with experience.
