West Virginia University Division of Student Life is currently accepting applications for a Program Coordinator. This position will be responsible for providing day-to-day tasks associated with Student Family Resources and the Child Care Access Means Parents in School (CCAMPIS) grant program.

What you'll do:

  • Assist in managing daily operations including administrative, operational and fiscal management support of the grant.
  • Establish and maintain detailed records of each student and childcare facility for annual report for Federal grant.
  • Work with Shared Services to submit invoices and do the receiving.
  • Work with Procurement Services to submit contracts with childcare facilities.
  • Make recommendations for purchases of supplies for the unit.
  • Work with area childcare facilities to maintain contracts for children of student parents.
  • Collaborate with units on campus to ensure knowledge of program and opportunities available for students. Such as Veteran’s Affairs, Global Affairs, Women’s Resource Center, Mountaineer KidZone, Graduate Education, Carruth Center, etc.
  • Provide outreach to student parents monthly assisting in navigating University and community resources.
  • Arrange meeting facilities, setup, catering per University guidelines for the unit.
  • Track CCAMPIS student academic progress.
  • Participate and provide outreach at student centered events on and off campus representing the unit.
  • Answer phone and greets visitors in office.
  • Collaborate with University Relations on preparing all marketing materials such as letters, fliers, schedules and brochures.
  • Supervise maintenance of web pages relating to Student Family Resources.
  • Attend on- and off-campus meetings as requested and report back on issues of importance.

Qualifications
  • Bachelor's degree in related field OR equivalent combination of education and experience
  • 2 years of increasingly responsible experience working in an administrative capacity;
  • Thorough knowledge of office methods, procedures and protocol, along with thorough knowledge of correct English, grammar, spelling, punctuation, and sentence structure.
  • Good knowledge of, or the ability to rapidly learn, the policies, procedures and regulations governing budget issues, with the ability to interpret and apply these policies to unique situations.
  • Knowledge of principles and practices of fiscal record keeping.
  • Strong interpersonal skills with the ability to maintain a professional demeanor while interacting with customers either in person or over the telephone.
  • Demonstrated ability to establish and maintain cooperative working relationships among all levels of employees within the organization.
  • Demonstrated ability to apply solid judgment, discretion and initiative in performing a variety of complex administrative tasks.
  • Demonstrated ability to coordinate and prioritize many different administrative tasks, determine relative importance of each, set deadlines, and complete projects in a timely manner.
  • Solid familiarity with a demonstrated competency in using a personal computer and related software packages, including word processing, database management and web design.
  • Demonstrated ability to independently determine proper location and cross reference of files in alphabetical, numerical, chronological, and/or subject matter order.
  • Ability to rapidly learn the operations of the University and work environment.
  • Ability to maintain confidentiality of sensitive information.
  • Demonstrated ability to work independently.
Requirements


Work is typically performed in a normal office environment; some duties may require lifting and carrying boxes of materials/supplies, traveling to different locations/sites, climbing stairs and near-constant use of computer.
