The IT department manages all aspects of our IT operations - from our retail and warehouse operations to our supporting office workplaces. Being part of this team means playing a fundamental role in supporting how our business operates and driving improvements in our daily operations.

Office Management is fundamental to the effective running of our operations. With that in mind we intend to enhance our team through the recruitment of an office manager. They should be results driven, organised, and comfortable working on own initiative. We are looking for someone who can effectively communicate with internal and external parties in a positive and professional manner while working under pressure and multitasking in a fast-paced environment.

The IT Office Manager will report to the CIO.

What you'll do

  • Coordinating the day to day running of ordering, invoicing, contract monitoring, as well as IT supplier setup and management.
  • Responding to vendor queries and reconciling accounts.
  • Overseeing the department processes for contract setup, from initial negotiation to contract filing.
  • Closely monitoring the invoicing P2P process (purchase to pay) while validating backups.
  • Delivering new starter training by presenting the Office Management area as well as Cost Management.
  • Running the monthly and yearly cost planning and KPI monitoring.
  • Ongoing analysis of all IT costs and investments, analysis of any deviations to plan, along with management of monthly accruals on a monthly basis.
  • Coordination and reconciliation of the bi-annual system software license planning.
  • Assisting line manager and team members with ad hoc administration duties and projects
  • Project management of projects related to the areas of cost management, processes optimization and supplier management.
  • General administrative tasks (locker overviews, department notifications, Open Day presentations)

What you'll need

  • Minimum of 3 years’ experience in an office management or similar administrative role, ideally gained within a large international organisation.
  • Strong interpersonal skills, with the ability to communicate and be results oriented.
  • Highly motivated & flexible with the ability to work under pressure and on own initiative.
  • Ability to ensure work is carried out and completed in a controlled, compliant, timely and accurate manner with emphasis on attention to detail.
  • Exceptional organisational, analytical and data analysis skills.
  • Excellent verbal, written and interpersonal communication skills.
  • Proficient in MS office.
  • German is an advantage but not essential.
  • Strong numerical skills and process orientated mindset.

  • Salary of €30,950 rising to €42,000 over 4 years
