JOB SUMMARY

Reporting directly to the Chief Court Administrator, the Court Administrator II is responsible for supervision of court staff and serves as backup for the Chief Court Administrator in their absence.

EXAMPLES OF WORK PERFORMED

  • Assists in interviewing and hiring process of Justice Court staff
  • Provides training, supervises staff and implements processes to maximize staff efficiencies in the performance of customer service and legal procedures
  • Acts as backup for Chief Court Administrator
  • Serves as Subject Matter Expert for complex legal transactions
  • Manages fines and fees schedule; works with IT to update Odyssey Navigator
  • Assists in budget preparation and purchasing processes
  • Processes payment refunds
  • Monitors staff performance and audits case files to ensure compliance and accuracy
  • Prepares a variety of reports in compliance with various state agencies
  • Schedules and processes a variety of court functions including weddings, hearings and trials
  • Manages dockets and disseminates notices
  • Prepares a variety of legal documents including summons, citations and warrants
  • Performs legal research and maintains up-to-date knowledge on all applicable rules and regulations related to court procedures
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned

Customer Service Assignment
  • Supervises window tellers, reviews cash drawers and deposits, and performs banking
  • Processes procurement orders, requisitions and invoice payments
  • Manages office efficiencies including equipment maintenance and procurement of supplies

Criminal Assignment
  • Oversees criminal court clerk staff transactions related to pre-trial hearings, jury selection process and witness court appearances
  • Schedules and attends pre-trial meetings with attorneys and prepares case paperwork
  • Processes juror paperwork and payments

Civil Assignment
  • Oversees civil staff transactions and performs complex civil case procedures related to truancy, evictions debt claims, small claims, repair and remedy cases and admin hearings
  • Oversees issuance of writs, motions, orders, judgements and abstracts of judgements
  • Oversees juvenile driver’s license suspension and occupational driver’s license transactions

PHYSICAL DEMANDS
  • Position involves prolonged sitting at a workstation, reaching, walking, twisting, bending, repetitive motions, and standing
  • Position involves occasional lifting and carrying of up to fifty (50) pounds and exertion of up to twenty-five (25) pounds of force to move objects

ENVIRONMENTAL FACTORS
  • Work is primarily indoors in an air-conditioned environment
  • High-volume court with stressful situations
  • Interaction with persons accused or convicted of crimes
  • Regular travel between work sites as required

IRREGULAR HOURS
  • Work outside regular office hours (Monday-Friday) may be required
  • Essential personnel for emergency situations; discretion of department director

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent
  • Five (5) years of clerical experience with three (3) years of experience in a court or legal setting; or experience in a Williamson County Court Administrator I position
  • Two (2) years of cash-handling experience
  • Working knowledge of specific job-related technology

LICENSES AND CERTIFICATIONS
Required within thirty (30) days of employment
  • Valid driver’s license

PREFERRED QUALIFICATIONS
  • Experience with Odyssey Navigator
  • Bilingual Spanish
