Kamehameha Schools is hiring for a Leasing Manager to support and assist our Leasing and Transactions department. This team is a part of the Integrated Asset Management (IAM) Division which manages agricultural and conservation lands of Aina Pauahi. The department works with lessees, the community, and stakeholders on lease management, land agreements, and tenant relations.
Our Leasing Managers work collaboratively with our Asset Managers, and manage all leasing paperwork and legal documents for our 'Aina portfolio in South Kona. We are looking for candidates that are highly proficient in spreadsheets, MRI software, real estate and property management.
Job Summary
Performs various lease management functions to include implementing lease management programs, coordinating property inspections, preparing lease-related documents and processing real estate transactions. May negotiate lease renewals and manage assigned land assets within policy guidelines in coordination with Land Asset Managers. Receives and responds to tenant and third-party inquiries, inputs information into property management database system, monitors accounts receivables, collections and write-offs, negotiates temporary payment arrangements and prepares routine and ad hoc reports.
May manage daily functions of the department through the development and supervision of one or more staff.
Essential Responsibilities
Real Estate Transaction Processing
  • Prepares standard and non-standard real estate agreements (rights-of-entry, licenses, leases) related to real property owned by Kamehameha Schools.
  • Prepares, processes and completes lease-related documents to initiate, administer or terminate agreements.
  • Performs various lease management and administration functions pertaining to new short- and long-term agreements, lease rent renegotiations and non-compliance matters.
  • Inputs and verifies real estate transaction information into property management database.
  • May process property sales and handle documents and coordinate transactions with internal and external parties.
Lease Management
  • Manages short- and long-term leases, rent renegotiations and other agreements
  • Manages lease management functions, programs, and processing of agreements.
  • Provides recommendations to Land Asset Managers on any actions to be taken or issues requiring further resolution.
  • Tracks upcoming lease renewals and expirations and negotiates renewals within policy guidelines.
  • Reviews and monitors correction of lease violations and defaults.
  • Researches real property taxes and assessed values of real property.
  • Manages annual percentage rent and assignment of lease programs.
  • May directly manage assigned land assets and manage lease renegotiations and lease renewals.
  • May coordinate and negotiate property use contracts and agreements, coordinates vendor selection and bid process, manage third-party services and agreements and property improvements and/or repair projects for assigned properties.
Customer Service Support
  • Receives and responds to inquiries from tenants and others regarding leases and other agreements and resolves lease-related issues within delegation of authority.
  • Delivers high level of customer service.
Accounts Receivable and Financials
  • Manages accounts receivable, delinquencies and referrals to legal for collection actions.
  • Assists Land Asset Managers with operational budgets and variance reporting.
  • Negotiates payment terms and agreements for delinquent accounts.
  • Verifies past-due notices.
  • Recommends and approves write-offs and waivers within policy guidelines.
Reporting
  • Prepares regular and ad hoc reports to monitor accounts receivable, status of rent negotiations and expirations, transaction reports, operational expenses and budget variances.
  • Prepares internal reports.
Operations
  • Assists Land Asset Managers with review of easement requests.
  • Tracks and consolidates tax assessments and appeals for Land Asset Managers.
  • Oversees and ensures lease compliance and defaults are updated in property management database.
  • May conduct onsite property inspections.
  • Oversees day-to-day operations to ensure accuracy and consistency.
Position Requirements
Minimum Requirements - An equivalent combination of education and experience may substitute for the requirements listed.
  • Associate's Degree.
  • Minimum 5 years of experience in real estate or lease administration, banking, escrow or property management, real estate law or related experience.
  • Hawaii Real Estate License as issued by the Licensing Branch, Professional & Vocational Licensing Division, Department of Commerce and Consumer Affairs, State of Hawaii, or ability to attain such license within the first year of employment.
  • Strong understanding of real estate contracts and documentation.
  • Solid understanding of ground leases, rent renegotiations and tenant rights.
  • Strong negotiation skills.
  • Strong project management skills and ability to manage competing priorities.
  • Familiarity with legal documents and ability to draft routine and non-routine documents.
  • Strong attention to detail.
  • Solid math skills and ability to perform routine financial analysis and moderately complex calculations.
  • Strong communication skills, written and verbal.
  • Strong interpersonal skills and ability to manage conflict.
  • Strong computer skills and knowledge of Microsoft Office and ability to learn new systems and teach others to use systems.
  • Strong customer service orientation.
  • Ability to motivate and manage others.

Physical and Mental Requirements
  • Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
  • Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
  • Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions (including environmental conditions)
  • This position may involve traveling to various locations, including neighbor islands to conduct business.
  • Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
