Required Qualifications
- Five years of relevant library experience.
- College education can be substituted for experience on a year-for-year basis up to three years.
- Experience with library circulation functions, discovery systems (e.g., Primo), library management systems (e.g., Alma), and/or other library systems.
- Experience providing public/customer service.
- Experience supervising and/or training.
- Demonstrated commitment to equity, diversity, inclusion, and accessibility.
Preferred Qualifications
- Knowledge of standard interlibrary loan policies and procedures.
- Experience and/or knowledge of an interlibrary loan management software.
- Experience and/or knowledge of technologies and software used for electronic document delivery.
- Experience working with bibliographic records and knowledge of MARC records.

The library has an opening for the Library Assistant 3 position. This is a full-time, 12 month position, AFSCME represented position. Starting salary for this position is $51,147.

The Interlibrary Loan library assistant serves as the subject matter expert on interlibrary loan and resource sharing. Responsibilities include: oversight of interlibrary loan, Get It (the University of Minnesota library requesting service), and document delivery operations; creating and documenting procedures and workflows; training, assigning and scheduling duties and reviewing work; communicating with patrons and other libraries regarding ILL requests; and troubleshooting problems.
This position acts as the primary liaison to Minitex, the Arrowhead Library System (ALS), and OCLC Tipasa. The position collaborates across systems to resolve service and system issues. They are responsible for informing all staff working in the Access & Collection Services Team (ACST) about any pertinent changes, outages, or other issues.
This position works with technical services and circulation staff in ACST to document and refine best practices and policies for interlibrary loan around acquisitions, holdings updates, and circulation of ILL material to patrons. The position also collaborates with Research & Learning (R&L) staff to provide support and guidance on seeking out research materials for our users.
This position carries out all responsibilities in accordance with the ALA code of Ethics (American Library Association)and the Interlibrary Loan Code for the United States.
This position is a member of the Access & Collection Services Team. ACST is responsible for acquiring, cataloging, and managing print and electronic materials. The team is also responsible for building oversight and security, interlibrary loan, course reserves, circulation, and stacks maintenance. This position is a third level technical library position which typically requires a thorough working knowledge of methods and practices in one or more functional areas of library operations and services. Employees at this level may have a general responsibility for a specialization within the team, and will typically work with considerable independence from direct supervision.
Essential Job Functions
Interlibrary Loan and Resource Sharing (100%)
- Subject-matter expert and lead worker (70%)
- Uses advanced resource sharing techniques to provide exceptional customer service and efficient delivery of materials.
- Performs complex bibliographic searches for material.
- Verifies and processes difficult interlibrary loan borrowing requests.
- Processes and monitors interlibrary loan requests submitted by UMD Students, staff, and faculty utilizing the library’s chosen interlibrary loan management system.
- Assists in difficult service interactions when needed. Provides information to library users and assists with gathering information in order to ensure the delivery of requested materials.
- Prepares, compiles, and analyzes statistical reports and narrative summaries when requested.
- Monitors compliance with copyright regulations, compiles yearly reports, and approves invoices as needed.
- Creates interlibrary loan activity related reports as requested.
- Recommends materials for purchase.
- Responds to UMD users’ questions about interlibrary loan and resource sharing.
- Serves as the resource for library staff about resource sharing.
- Authors content on library web pages related to resource sharing including interlibrary loan and Get It.
- Maintains proficiency with the library’s chosen interlibrary loan management system.
- Provides leadership in policy development, planning, prioritizing, and organizing resource sharing in response to library and team goals and priorities.
- Coordinates, schedules, prioritizes, and improves the daily workflow of other staff and student assistants involved in interlibrary loan work.
- Develops training materials and conducts ongoing training for staff and student workers performing interlibrary loan work.
- Creates and maintains process and procedure documentation related to resource sharing.
- Consults team leader about initiatives, goals, and new services.
- Manages the Tipasa-Alma NCIP renewal and recall process.
- Billing for interlibrary loan borrowing and lending (5%)
- For borrowed items that are lost, severely overdue, or damaged
- Request bill from the lending library.
- When a bill is received, approve payment and submit it to the Library Administration Office for processing.
- For loaned items that are lost, severely overdue, or damaged.
- Contact the borrowing library and advise that billing is imminent.
- Negotiate receipt of replacement copy in lieu of paying $100 replacement fee.
- For borrowed items that are lost, severely overdue, or damaged
- OCLC/ALS/Minitex Liaison (5%)
- Acts as the library’s liaison to local (Arrowhead Library System), regional (MINITEX), and national/international networks, consortia, and vendors.
- Makes decisions about vendor and resource sharing network workflow problems.
- Develops and recommends best practices.
- Monitors systems (e.g, Alma and Tipasa) and equipment used for resource sharing to make sure they are working as expected. Works with the vendor to troubleshoot problems. Keeps affected staff informed about problems and solutions.
- Serves as the contact to the library’s chosen interlibrary loan management system. Shares information about new releases/enhancements/upgrades with affected staff.
- Attends annual conferences relevant to resource sharing.
- Negotiates reciprocal resource sharing agreements and informs affected staff who our reciprocal partners are.
- Maintains and reviews OCLC policy directory.
- Serves as the liaison to: (5%)
- OCLC, regarding all issues related to Tipasa.
- the UMD Mailroom.
- to the Copyright Clearance Center for interlibrary loan.
- Supervision and Training (15%)
- Hires, trains, and supervises student workers to assist with interlibrary loan.
- Provides interlibrary loan related on-the-job-training to co-workers.

Supervision
Effectively recommends hiring of subordinates and disciplinary/corrective actions. Conducts subordinate employee performance reviews. May have responsibility for project planning and problem analysis and resolution within the Access & Collection Services Team. Incumbents are not PELRA (Public Employee Labor Relations Association) supervisors. Incumbents will supervise student employees.
