Summary:
A full-time position that provides support to the Massachusetts Association for the Blind & Visually Impaired (MABVI) Volunteer and Low-Vision Peer Support Group programs. The position is 20 hours per week in the Volunteer Department and 20 hours per week in the Peer Empowerment Program. The Program Assistant will provide administrative support to both program directors and work on special projects/events.
Essential Duties and Responsibilities:
· Responsible for the virtual onboarding of volunteers from inquiry to the program through the interview process.
This entails:
· Documenting all inquires.
· Sending volunteer application and training materials to prospective volunteers.
· Entering volunteer application into the database.
· Scheduling interviews.
· Sending out background check, CORI form through DocuSign
· Trouble shooting all issues with onboarding process and answering volunteer questions pertaining to onboarding process.
· Communicating with consumers and volunteers on the phone/email/zoom about aspects of the program.
· Creating, managing, and deleting postings as requests come in and volunteer matches occur.
· Attending Volunteer program meetings once a week on Wednesday from 2:30-4pm. 1.5 hours weekly.
· In meeting: Responsible for reporting on new inquiries, postings and onboarding progress of volunteers each week.
· Sending letters to consumers who we cannot contact for database cleanup.
· Attend weekly check ins with Volunteer Director.
· Complete monthly consumer check in calls.
· Participate in any events/appreciation for volunteers.
· Other related job duties as assigned.
· Prepare all coordinator bills for approval by the first of each month or upon receipt of all necessary documentation, whichever is earlier.
· Format and send out correspondence to program participants as needed.
· Acknowledge and respond to all calls when received.
· Complete PEP monthly data entry by end of first week each month.
· Communicate any concerns, difficulties in meeting deadlines, or uncertainty about directions and task priorities immediately.
· Maintain records of group meetings to ensure compliance with annual grant requirements.
· Maintain up-to-date spreadsheet of coordinator contacts.
· Facilitate monthly book club meeting; open and schedule Zoom meeting as needed; call participants who cannot access Zoom independently; look up book recommendations as requested and supply details and book number to participants monthly.
· Assist team in planning, coordinating, and conducting annual coordinator trainings and other events as requested.
· Attend and take notes at weekly PEP meetings and coordinator calls.
· Host PEP events on Zoom when scheduled.
· Assist staff in accessing information from database and enter data when requested.
· Format and proof documents for PEP and Adjustment Counselling departments as requested.
· Other job-related duties as assigned.

Demonstrated excellent customer service and strong communication skills, genuinely enjoy speaking to consumers and volunteers on the phone/email/zoom meetings.
Strong writing and communication skills.
Enthusiastic about serving our population and drive to recruit volunteers for our consumers.
Ability to take direction, willingness to brainstorm and participate in program implementation/systems and operations.
Interested in and capacity to work collaboratively with team members to identify and implement program improvements.
Education:
Bachelor's degree or equivalent experience preferred.
Qualifications:
Experience with phone related work and strong verbal and written communication skills.
Previous experience working with older blind/visually impaired people, preferred not required.
