Work as part of the Support Services Team with a primary focus on the Mailroom & Printroom & Central Filing Areas, delivering high quality service to the firm ensuring all processes and procedures and service levels are adhered to.Work as part of the Support Services Team with a primary focus on the Mail, Print & Packing Service for TLS Mail Distributions, delivering high quality service to the firm ensuring all processes and procedures and service levels are adhered to.
**THIS IS A 6 MONTH CONTRACT**
Job Responsibilities
As an Assistant within the Support Services Team, flexibility is required to work and provide support across all operational areas as needed, this includes, Printroom, Mailroom, Central Filing, Administration and Hospitality.
Central Filing
The retrieval/collection and delivery of files on a daily basis.- Daily maintenance of the Filing Database/Central Filing Storage Areas to include:
- Daily file re-scan
- Daily file rotations
- The scanning in and out of all files requested by users.
- Assist the AM with all storage and space planning.
- Deal directly with the off-site storage provider on daily business requirements
- Deal directly with the off-site storage provider on all file issues
- Deal directly with users on all queries relating the to filing system.
- Work closely with the AM to maintain all processes and procedures documents
- Conduct testing on the filing system as required.
Mailroom
Distribution of the firm’s incoming/outgoing mail as per agreed schedules.- Collection and distribution of all incoming/outgoing courier requests.
- Ensure outgoing/incoming couriers are dispatched as per agreed service levels.
- Ensure all processes and procedures and service levels are adhered to.
- Collection and distribution of deliveries to Spencer Dock basement as per agreed schedules.
- Ensure the “bundling” of outgoing items is used where appropriate.
- Assist in the delivery of bulky packages and boxes to all locations.
Printroom
- Print, photocopying, binding and finishing of all work scheduled through the area
- Operate all print room equipment (photocopiers, binders, guillotine, shredding equipment etc) in compliance with the relevant regulations (including Health and Safety) and internal standards criteria.
- Maintain system of record for each job.
- Maintain a daily log of service calls on all equipment.
- Carry out daily quality checks on photocopiers and equipment within area.
- Assist with the maintenance of stock supplies for all photocopiers & stationery
- Assist with the organisation of external printing for all stationery
- Proof checking and supplying of business cards and stationery as requested.
- General upkeep of the area
Team
Monitor own work progress to ensure customer needs are met.- Assist with the induction and training of new team members as requested
- Work with the AM to develop knowledge & expertise.
- Proactively identifies improvements.
- Escalate issues and problems where they become apparent and help resolve them under the guidance of the AM.
- Assist with project work or other duties as may be determined by the AM.
General
Quality check and take responsibility for own work- Return two timesheets per month
- Carry out Mailroom, Stationery and Central Filing collections and deliveries where appropriate
- Operate stationery orders database where appropriate
- Check in & distribute stationery as requested
- Dealing with users requests and queries etc
- Answer & record incoming telephone calls & record messages when necessary.
- Ensure all procedures are adhered to.
- Manage multiple tasks effectively in a non-structured environment.
- Flexibility to cover and provide support to other areas within the infrastructure department.
- Maintain a high standard of confidentiality.
Qualifications
1 years experience in office/business environment or similar role.- Excellent communication skills.
- Excellent organizational skills.
- Ability to work under pressure and to deadlines
- IT Literate (Microsoft Word, Excel & Google)
- Leaving Certificate
- Flexible, open to change, work overtime when requested
- Team player, maintain good working relationship with other team members
- Enthusiastic and willing to learn
- Excellent time keeper
- Ability to work on own initiative
- Conscientious and diligent
