Job Description


SUMMARY

The Manager - Executive Administration runs a suite of programs for the FCC Executive Office, including: (1) employee appreciation; (2) parking administration; (3) selected community engagement projects; and (4) new project analysis. The Manager - Executive Administration also provides administrative and executive support to executive administrators and manages the logistics of the Executive Office Building. The Manager - Executive Administration interacts regularly with FCC’s Board of Directors, FCC leadership teams, and staff system-wide.


ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions of this position include, but are not limited to, the following:

  • Receives and responds to internal and external inquiries
  • Schedules executive meetings, prepares for meetings, and provides support functions for meetings, including space, time, and food arrangements
  • Researches, makes recommendations, and implements employee engagement initiatives, including but not limited to health and wellness activities
  • Seeks new technology to improve systems and processes and operationalizes those processes
  • Identifies the urgency and importance of tasks and prioritizes projects
  • Interacts and maintains positive relationship with all leadership teams system-wide
  • Understands to whom information must be communicated and the timing of such communication and follows through on communications
  • Scans, files, creates electronic documents, takes notes
  • Serves as bridge between clinic and administrative office staff
  • Creates and maintains electronic and paper executive organization systems
  • Organizes groups, compiles information, and leads meetings to advance executive projects
  • Prepares agendas and assists in the preparation for Executive Staff Meetings.
  • Communicates directly and on behalf of executives, with board members, leaders, staff members, and external collaborators
  • Collaborates with project managers and teams on company-wide projects
  • Displays a professional demeanor and maintains confidentiality at all times
  • Collaborates with Marketing and Communications Manager to ensure internal and external messaging are consistent and in line with the organization’s programmatic goals
  • Performs other related duties as assigned


EDUCATION AND/OR EXPERIENCE


  • 3-5 years of professional office experience preferred
  • Bachelor’s degree preferred


REQUIREMENTS

  • Valid driver’s license or reliable transportation


SKILLS

  • Excellent writing skills
  • Expertise in Microsoft Office (PowerPoint, Word, Excel), Microsoft 365
  • Successful negotiation, conflict resolution, and de-escalation skills
  • Accurate, focused, and flexible
  • Highly organized
  • Able to work independently


TRAVEL

This position will be on-site at the Executive Office Building at 211 E. Houston Street, Tyler Texas location. There may be occasional travel to our Tyler administrative buildings and our six clinics in Tyler, Athens, and Jacksonville. There is no virtual or hybrid option for this position.

Salary and Benefits:
Salary is commensurate with experience. Expected salary is between $45,000.00 and $50,000.00. FCC pays 100% of employee health, dental, and vision and 75% of dependent health dental and vision. FCC also pays a 5% retirement savings match.
