SUMMARY: The Marketing & Communications Coordinator is responsible for building and maintaining partnerships and relationships between Catholic Charites and the community, including donors, volunteers, advocacy groups, important vendors, other partner agencies, churches, and businesses to deliver the resources (funds and volunteers) needed to support agency programs. Additionally, the coordinator is responsible for maintaining all relevant contact information databases as well as the donation process from receipt and recording of gifts through donor acknowledgment and end of your tax statements.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Communications - Social Media, Website and Email

  • Develop calendar for social media content publishing (e.g., shelters during Nat’l Homelessness Mo).
  • Review social media content from followed groups/individuals for use (share, like, retweet, repost).
  • Create social media content utilizing organic (self-created) and curated (borrowed) sources.
  • Use online (e.g., Meta Business Suite) tool to schedule posting of social media content.
  • Assist in creating and editing of website content (ccdosp.org and pinellashope.org) using self-created or curated content. Content to include ‘sliders’, stories, calendar, program content, menu layout.
  • Assist in planning and developing monthly newsletters and miscellaneous informational emails (agency-wide and differentiated – i.e., program-specific) to be distributed via Constant Contact online email application.
  • Contribute to creation of Annual Report (data, images, and articles).
  • Assist in identifying client stories, creating stories, including images, for use in social media, website, email, and printed materials.
  • Develop announcements (e.g., fundraisers, program information, volunteer needs, etc.) to be placed in Catholic parish bulletins and coordinating with parishes for placement.
  • Coordinate all communication and marketing strategies with program managers/directors.
  • Develop and maintain marketing calendar, including monthly Spirit FM radio interviews.

Marketing – Graphic Design and Outreach

  • Assist with creating printable (brochures, flyers, cards) and online (memes, emails, images) content.
  • Assist in creating PowerPoint presentations for internal and external use.
  • Assist in creating (planning, logistics, invitations, etc.) and then attending events (ribbon cuttings, fundraisers, check presentations, school presentations), make presentations – including video, PowerPoint slideshows – and engage in public speaking.
  • Assist in graphic design of creative (artwork) for use across multimedia platforms: website, social media, email, hard copy mailers.
  • Attend fundraisers and program events to provide photographic and videography support, as well as create content (i.e., write stories).
  • Assist in recruiting volunteers, donors, and advocates to support Catholic Charities programs.
  • Assist with driving awareness and recognition of Catholic Charities among government, social, civic and local organizations as well as religious and other nonprofit groups to drive awareness and recognition of Catholic Charities, develop partnerships and, where appropriate, to recruit, develop and/or utilize volunteers.
  • Assist with outreach to the Diocese of St. Petersburg and its parishes to drive awareness of Catholic Charities services, solicit assistance.
  • Create and manage in-kind donation ‘Drives’ (e.g., Back to School or Easter Baskets) from schools and other groups, including picking up donations and transporting them to the benefitting programs.

Administration, Analysis and Donor Relations

  • Maintain contact lists for parishes, Catholic parish pastors, and other key social service agencies.
  • Maintain Constant Contact (or other email platform) recipient database, including editing and/or creating new sub-groups for differentiated email communications.
  • Assist in maintaining Agency profile information (e.g., address) on 3rd Party and Charitable Donation Platforms (e.g., Benevity, Truist, CyberGrants, Schwab or Fidelity Charitable)
  • Complete and maintain ‘Hunger Hero’ list, analysis, and certificates for shelter meal providers.
  • Assist in maintaining donor database to include updates (e.g., new address), removals (e.g., deceased donor) and other related tasks.
  • Respond to donor inquiries: in writing, by email (e.g., catholiccharitiesdosp@gmail.com) or by phone to answer questions, receive donations or update information.
  • Receive donations and complete donation ‘Contribution’ logs (spreadsheet with accompanying donation documentation – e.g., donor letter) used to accompany gifts to be deposited by accounting personnel. Upon receipt of deposit receipt, create final ‘log’ (PDF file), share with appropriate parties, and then save to shared network (SharePoint).
  • Create Letters of Acknowledgment for each donation and send to donors (via USPS or email).
  • Access donor database to prepare Donor Lists for use in Annual Tax Statements, Annual Report, and other ad hoc projects.
  • Assist in making logistics arrangements for events (e.g., tent/chair rentals, invitation print jobs, etc.)
  • Contact (via phone or email) donors, vendors, event invitees as needed and directed by supervisor.
  • Supervise interns, providing them with value-added tasks including key measurable objectives.

OTHER RESPONSIBILITIES:

  • Complies with all applicable training requirements.
  • Complies with all company safety, personnel and operational policies and procedures.
  • Complies with work schedule to ensure effective operations of Agency programs.
  • Contributes positively as a member of a productive and cooperative team.
  • Participates in Agency Performance Quality Improvement (/PQI) program and Accreditation or Reaccreditation process.
  • Performs other duties as necessary to fulfill Catholic Charities Diocese of St Petersburg, Inc. Mission.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Able to speak, write and understand English.

  • Successfully pass a FDLE Level II background screening.
  • Valid Florida driver’s license, ability to drive van or bus and have reliable transportation.

ADDITIONAL KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge in creating and editing social media content (Facebook, Twitter, Instagram, YouTube), including creation and manipulation of images (jpg, png, bmp, ai and others)
  • Knowledge in using WordPress content management system to create and edit content
  • Knowledge in using Microsoft Office Suite and Adobe Illustrator, Photoshop, Microsoft Publisher to create and edit content (images, email, brochures, blog stories)
  • Proven communication and relationship-building experience
  • Proven experience with marketing, social media and web-site support and maintenance.
  • Demonstrated success in the development and promotion of fundraising events or similar programs.
  • Ability to work with diverse communities and demonstrate inclusion.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills
  • Excellent professional customer service skills with visitors, callers and volunteers.

EDUCATION AND EXPERIENCE:

  • Bachelor's degree in Marketing or Communications or related degree is preferred.
  • 3-5 years demonstrated ability to marketing and outreach is preferred.
