Preferred Primary Care Physicians is currently recruiting for full-time Medical Office Manager to oversee the daily operations of on of our Divisions. The Office Manager will be responsible for the management of two office locations. One in Braddock and the other in Munhall, must be able to travel to both locations. Prior supervisory experience in a physician office is a must. Experience in a multi-provider medical office setting is preferred.

General Purpose of the Medical Office Manager Position:

The Office Manager is involved in all of the day-to-day administrative tasks required to keep the practice running smoothly. This position focuses on the business aspects of operating a medical office. Some job duties include ordering supplies, hiring staff, managing staff and budgeting.

Medical Office Manager Essential Functions:

  • The office manager is responsible for the financial performance of the revenue cycle
  • Supervision of patient scheduling, registration, financial counseling, medical records, billing and collection, data entry and processing, and cash posting
  • Coordination of the day to day operations of the practice
  • Promoting excellent customer service by all levels of the staff
  • Develops, implements, and maintains office policies and procedures
  • Interviews, hires, and trains a productive medical office team
  • Supervision of medical office staff to include performance reviews, scheduling, disciplinary action and training
  • Maintains and manages all filing and organizational systems for the practice
  • Managing the office's EMR system
  • Ensures patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences.
  • Ensures regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations.
  • Create, utilize and process various reports through Enli
  • Utilize basic reports to identify patients who are due for Health Maintenance screenings and/or Annual Preventative appointments.
  • Review reports to assess patients last blood work, mammogram, eye exam, last appointment or adherence to medication.
  • Utilize reporting tools to assist patient population in being compliant in partnering with providers to manage their health and/or disease states.
  • Contact patients regarding appointments or need for testing as required
  • Work with providers and office staff in procuring orders or referrals for patients in achieving positive quality goal outcomes.
  • Close out open orders or referrals once order or service is found to be completed

Knowledge/Skills:

Knowledge of business and accounting processes usually obtained from an Associates or Bachelor's degree in Business Administration, Accounting, Health Care Administration or similar program is preferred.

Experience/On the Job Training:

  • Minimum of 5 to 7 years in a medical office setting is preferred.
  • 2-3 years in a supervisory or management position
