JOB SUMMARY
The NVO Planning Coordinator will provide high-level administrative support for the General Manager, Gerlach Real Estate, and NVO OFF Manager. They will also provide coordination, oversight, and support for Gerlach Center and OFF programs and projects. The right candidate will efficiently juggle consistently competing priorities.
Responsibilities will include complex calendar management, taking minutes during meetings, maintaining databases, producing reports and presentations, general support of events and activities, expenses, and other complex tasks. This position requires excellent communication and interpersonal skills and a keen eye for detail.
Applicants with experience as an administrative or project coordinator - especially in construction and/or permitting - are especially desired.
This is a regular, full-time role, located in Gerlach, NV. Mostly remote may be possible for the right candidate.

DUTIES & ESSENTIAL JOB FUNCTIONS
Project Coordination (40%)
Coordinate projects or phases of complex projects.- Meticulously track deliverables and ensure completion in line with established timelines.
- Support creating and managing project timelines to deliver products and programs.
- Proofread functionally specific materials for accuracy, including copy, grammar, and layout, and make appropriate edits.
- Proactively identify and implement processes to improve workflow, organization, and communication.
- Maintain complex spreadsheets.
- Research new project initiatives and compile appropriate information for review by the GM of Gerlach Real Estate or the OFF Fossil Fuels Manager and Sustainability Project Manager.
- Coordinate with operational departments on deliverables to ensure continuous program improvement and success.
Administration (40%)
Take clear notes in meetings that identify deliverables and ensure all attendees can access those notes. If notes are running, ensure historical data is easily accessible.- Provide advanced administrative support, including meeting planning, complex calendar management, and expense report creation.
- Maintain the departments’ Google Drive and other relevant workspace tools, ensuring all meeting notes and pertinent documents are posted appropriately and available for review.
- Prepare presentations and support public communications needs of the NVO OFF Manager and GM of Gerlach Real Estate and related programs.
- Relay urgent messages between members of the staff, volunteers, participants, press agents, and law enforcement officials in Gerlach, on the playa, and at Black Rock Station as necessary.
- Provide support to members of the NVO Council at the discretion of the direct manager(s).
- Coordinate necessary cross-departmental meetings and project work and communications.
Community and Event Engagement (10%)
Support community engagement activities for locals, staff, participants, and businesses.- Maintain a professional presence representing Burning Man, receiving all initial inquiries with patience and graciousness.
- Plan and execute property tours, event relations, and other forward facing community and event engagement needs.
Other Functions and Responsibilities (10%)
Perform other duties as assigned.- Attend and participate in A-Team Meetings.
LEARNING AND TEACHING
Documentation - Assists in the creation, publishing, and maintenance of process documentation related to their assigned duties.- Learning – Pursues ongoing learning in their area of expertise, working to stay current on emergent knowledge, skills, and processes.
QUALIFICATIONS
Required
3+ years of relevant experience as an administrative and/or project coordinator.- 3+ years experience in customer service
- 1+ years of experience in a leadership role
- Expert knowledge of Google Sheets and Docs, databases, and collaboration tools like Slack and Asana.
- Ability to apply knowledge of multidisciplinary business principles and practices to achieve successful outcomes in cross-functional projects and activities
- A motivated and meticulous approach to work and an eye for detail.
- Ability to collaborate with multiple leaders and evaluate and prioritize workload as necessary.
- Ability to work independently and make decisions with minimal supervision
- Proven ability to handle sensitive, confidential, and proprietary information with discretion.
- Excellent problem solver.
- Professional demeanor and effective verbal and written communication.
- Abide by the rules and codes of conduct described in the NVO Handbook, Ranch Protocols, and the 360 S.O.P.
Preferred
3+ years of permitting experience.- Ability and willingness to maintain a residence in Gerlach or Empire, Nevada, throughout employment.
- Experience in event production.
- Experience facilitating meetings.
- It is helpful if the candidate has previously been to Burning Man and/or is familiar with its culture.

Compensation:
Individual compensation decisions are dependent on a variety of factors, including prior experience and geographical location. The anticipated salary range for this position is $52,000 to $62,000 annually.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT
- Off-playa: Work is primarily sedentary in nature; no special demands are required.
- On-playa: Work is primarily sedentary but will also include the need to find and meet with department representatives who may not be in the vicinity therefore, this could include walking or using some form of transportation. Some of the work will be in outside weather conditions and exposed to fumes or airborne particles, as well as possible extremes in temperature.
