Position Summary

The Office Assistant 2 reports to and in collaboration with the Director of Information Technology Business Operations (ITBO) performs administrative support functions including quick copy recharges, Canon counts, recharges, toner ordering, budget corrections, tracking and payment of Print Services Invoices. This position requires independent judgment and is performed with limited supervision.

This position helps support and contributes to this mission by making sure the printing services are appropriately chosen to provide seamless access to the various resources used by our educational programs, and ultimately our students. The position also makes sure that our printing resources are maintained to continue to be able to support our students and our programs.

This is a part-time 50% FTE (20 hours per week) permanent position.

Pay, Benefits & Work Schedule

Position Salary Range at 50%FTE: $16,992/year - $22,416/year

The salary will be determined based on candidate's qualifications and related experience. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

About the Department

The Information Technology Services (ITS) division is comprised of six departmental teams: The Office of the Vice President, Digital Media Services, Infrastructure, Integration, Technical Support Services, and Office of IT Business Operation. ITS supports all campus computing - both academic and administrative. The division manages networking and server components, performance and quality of all college websites, the web portal, software and application development, as well as data and administrative system support. ITS provides in-person workshops and training to faculty and staff, and offers an array of video production services including live streaming campus events as well as producing original programming to support college activities. ITS broadcasts 24/7 programming for the College and outlying community on the College Channel television station.

Essential Functions

Division Printing Re-Charges

Collects fees, maintains collection records, verifies and balances receipts, and prepares bank deposit documents
Collects Quick Copy tickets in paper form, and transfers them to Excel format
Resolves problems and responds to inquiries regarding recharges, regulations, policies, department procedures, and department services
Reviews documents, records, or applications for completeness, accuracy, and compliance with rules; determines and explains action necessary to achieve compliance or approval
Coordinates day- to -day financial actions including printer recharges, credit card reimbursement, credit card closing, monitors status of Purchase Order (PO) invoice payments, resolves payment delays, maintains a comprehensive system for fiscal record-keeping and records retention.
Conducts Monthly Recharges Upload to SharePoint
Submits monthly financial re-charges to finance
Establishes and maintains complex electronic or manual file systems or data base files; Record retention of Printing Services documents on SharePoint & Bellevue College Archive
Canon Printer Access

Confirms budget details, unit and departments are correctly associated with budget numbers
Processes Copier scan requests
Generates report related to printing
Organizes, oversees, establishes, tracks, and maintains data sources in Papercut such as budgets, personal and departments
Provides access to printers by collaborating with the College key master
Orders, receives and maintains inventory record; assists with Canon ordering of paper, staples and supplies
Collects funds from coin-op copier, deposits them to the cashier's office
Requests service maintenance for Canon Copiers & Coin-ops, such as printer issues, supply ordering, ect.
Maintenance Invoice Record and Process

Processes and monitors incoming invoices and fund distribution; attaches related correspondence or information before forwarding as appropriate;
Establishes and monitors purchasing records and resolves unpaid invoices in a timely manner
Maintains invoice records and establishes regular status reports related to paid invoices
Reviews, allocates purchases to proper budget and category; ensures compliance with departmental, institutional and/or granting agency policies, rules and regulations;
Provides information for budget preparation
Performs financial, or other financial/numeric work, requiring the application of accepted bookkeeping or basic accounting methods and applications
Other Duties

Interprets established policies, procedures, codes, regulations and other relevant sources to internal and external customers over the telephone, in writing and in-person.
Performs other duties as assigned

Minimum Qualifications

High school graduation or equivalent.
At least one (1) year of experience in an office support role.
At least one (1) year of experience in budget reconciliation, preparation of financial reports and maintaining a comprehensive record keeping system.
Proficiency in Microsoft Office Suite, including Word, Outlook and two-years of experience working with Excel.
Demonstrated understanding of generally accepted accounting principles (GAAP).
Effective written, verbal, interpersonal communication and time management skills.
Demonstrated ability to work with confidential data.
Demonstrated ability to incorporate diverse perspectives and work successfully with people of varying ages, abilities, and ethnicities from diverse cultural, educational and economic backgrounds.

Preferred Qualifications

Two (2) years of experience in Print Service.
Demonstrated effective customer service skills.
Familiarity with the community college, State, and various funding agency's policies, procedures, and regulations.
Experience in PeopleSoft (ctcLink) financial systems.
Ability to work both independently and collaboratively.
