Overview

The primary purpose of this role is to coordinate the smooth running of the Head Office and provide ongoing administrative support to the wider business.

Duties & Responsibilities

  • Duties may include but are not limited to reception, post and courier services, ordering of office supplies and equipment, landlord relations and management of building access passes;
  • Coordinate & manage repair and maintenance works, facilities & cleaning contractor
  • Coordinate and support events, meetings, and conference facilities as required;
  • Coordinate the delivery of amenities and supplies which include food services, office supplies, IT equipment, etc;
  • Assist the HR team with employee onboarding and IT access;
  • Raising PO's & goods receipting for all office facilities;
  • Coordination of First Aid/Fire warden training for the office and dealing with all aspects of EHS;
  • Expense reporting and ad-hoc administrative duties for the General Manager;
  • Assisting with other ad-hoc administrative and project requirements as needed.
  • Travel coordination, both domestic and international
  • Support the General manager with projects, calendar management & presentations

Professional Experience

  • 2+ years experience as an office administrator, office assistant or relevant role;
  • Highly organised with ability to multitask;
  • Outstanding communication and interpersonal abilities;
  • Excellent organisational skills
  • Familiarity with office management procedures;
  • Excellent knowledge of MS Office and office management software (SAP preferable).
