Old Republic Risk Management (ORRM) is currently seeking an Office & Facilities Manager to join its Administrative Support Team at its company headquarters in Brookfield, WI. ORRM provides primary casualty insurance products to corporate and group insureds with complex risks. In general, the Office & Facilities Manager is responsible for general oversight of the building, ensuring facilities and administrative services run effectively to meet the needs of employees and customers.

Essential duties for the role are as follows:
  • Supervise and train direct reports, make recommendations for performance management and career pathing.
  • Preside over the facilities, performing as primary point of contact and liaison with key individuals for building management. Ensure situations are recorded and there is resolution to all related matters. Oversee office cleanings, equipment maintenance and general office conditions.
  • Manage reception area ensuring a high level of customer service (both internal and external) to include greeting employees and customers, assisting with meeting needs, and directing incoming phone calls.
  • Oversee procurement of office supplies, furniture and furnishings along with the installation, storage and decommissioning of same. Preside over unclaimed property.
  • Responsible for ensuring the administrative aspects of the business run effectively to include records management and destruction, mail, supplies, reception area, fitness center, meeting areas, and building security.
  • Manage all meeting and event areas ensuring rooms are prepared for scheduled meetings, ie. set up, take down, and housekeeping.
  • Coordinate the allocation of leased space, working directly with senior leadership on expansion needs and forecasting for future space planning needs. Work in partnership with professional architects and design firms in space planning.
  • Oversee construction and renovation projects. Oversee the phasing and logistics of department (staff and equipment) moves. Serve as primary contact with contractors and negotiate pricing, contract agreements and schedules.
  • Other duties as assigned.

This position requires a High School diploma, or equivalent, and a minimum of five years of related experience, or an equivalent combination of education and experience. Prior management experience required.

Working as an Office & Facilities Manager requires one to work independently and effectively within a fast-paced environment. Proficiency with Microsoft (MS) Windows and Office products is necessary. Other skills necessary include excellent oral and written communication skills, strong organizational and accurate proofreading skills, the ability to maintain accurate records, the ability to exercise discretion with confidential information, strong attention to detail, and the ability to use a variety of office equipment.
