Ministry Summary

Child Evangelism Fellowship (CEF®) is one of the world's largest children's ministries with active ministry in nearly every country of the world. We are an interdenominational, Christian nonprofit organization founded in 1937, headquartered in Warrenton, Missouri with chapters across the USA. Our ministry is Bible-centered and composed of born-again believers whose purpose is to evangelize boys and girls with the Gospel of the Lord Jesus Christ and to establish (disciple) them in the Word of God and in a local church for Christian living. In 2021 we served 15.5+ million children through a series of core ministry programs for children including Good News Club®, 5 Day Club®, Christian Youth in Action® (CYIA™) and other outreach/evangelization efforts.

Job Summary

The Jefferson-Elk & Clearfield Chapter is currently seeking a part-time office manager for a small office setting which affords a flexible weekly schedule. The position also offers challenging opportunities for leadership and personal growth in a vast array of office and ministry areas. Our busy, ministry-focused office needs a reliable, well-organized Office Manager to handle day-to-day operations with a focus on efficiency and time management. The Office Manager will be responsible for streamlining administrative procedures, maintaining inventory control, and ensuring volunteer records are kept up-to-date and secure. We’re looking for an energetic professional who doesn’t mind wearing multiple hats. Ministry proficiency will be assessed after a 90 day probationary period. This position includes ministry advancement opportunities for those that desire to expand into greater leadership roles.

Applicants should posess the following qualifictions and responsibilities.

GENERAL QUALIFICATIONS

  • A born again Christian who has assurance of salvation and is willing to give a testimony of such
  • A team player that keeps goals in focus; perfectly balancing the importance of people witht he task at hand
  • Excellent written and verbal communication skill
  • Specific training or coursework in computers or databases is needed: Proficiency in Microsoft Office Suite including Word, Publisher, Excel, & Access & basic bookkeeping skills are necessary with familiarity in QuickBooks software.
  • Self-motivated, organized, attentive to details and able to motivate others
  • A teachable spirit that is eager to learn new skillsets in all facets of the ministry
  • While schedules are flexible, individual must be punctual and able to set work timelines in order to meet deadlines

SPECIFIC RESPONSIBILITIES

  • Work with the Local Director to staff/maintain the office, ensure ministries & volunteers are well equipped, and serve local churches & the public at large.
  • Greet visitors and answer the phone in a manner that positively promotes the ministry and respects the needs of others
  • Care for general office filing, ongoing record of inventories, petty cash, and other hands on office tasks.
  • Maintain stock of ministry materials and office supplies.
  • Compose and prepare letters, agendas and other forms of correspondence (note cards, invitations, honorariums/memorials, etc.) both digitally and in handwritten form.
  • Maintain volunteer records as to ensure compliance with CEF’s Child Protection Policy and PA State Laws.
  • Maintain an up-to-date mailing list and student, worker, and church databases.
  • Maintain an ongoing record of ministry statistics and event summaries at the conclusion of each outreach.
  • Care for the organization and appearance of the CEF office.

BOOKKEEPING RESPONSIBILITIES

  • Become proficient in bookkeeping responsibilities and act as liaison to the board and the treasurer.
  • Prepare invoices for payment in a timely manner, as to never incur finance charges or late fees.
  • Track donor contributions and send monthly receipts along with thank you letters on behalf of the board.
  • Maintain all financial records and checkbook reconciliation using QuickBooks Software.
  • Prepare reports as necessary for the state office, local board and local director.

OTHER RESPONSIBILITIES ON AN AS NEEDED BASIS

  • Assist in developing/preparing ministry materials, promotional items and visual aids.
  • Assist in preparing/mailing newsletters, prayer calendars, and training materials.
  • Assist/take lead in planning ministry events and participating as appropriate.
  • Conduct searches to find current statistical and demographical information.

Job Type: Part-time
