Autism is the fastest growing developmental disability. Services for people with autism transitioning to adulthood are almost non-existent, which is why Easterseals Central Texas launched Greenleaf Neurodiversity Community Center (Greenleaf NCC) in the fall of 2019 to create a community hub that fosters the abilities of people with autism and related neurodivergent conditions, so they reach their potential and thrive in the community, in the workplace, and in life.
Position Summary
The Office Manager will be responsible for overseeing the daily office operations and support the day-to-day administrative needs of Greenleaf Neurodiversity Community Center and its educational, recreational, and vocational programming for youth and adults with autism and other neurodivergent conditions.

1. Oversee and support all administrative duties in the office to ensure smooth operations, including the following responsibilities:
- Manage supplies inventory and place orders as necessary
- Receive and sort incoming mail and deliveries; manage outgoing mail
- Develop office procedures and protocols; ensure their appropriate implementation
- Track receipts and create monthly expense reports
- Filing and office organization
- Schedule meetings and tours; send calendar invitations to stakeholders
- Perform receptionist duties such as greeting visitors, answering and directing phone calls, preparing spaces for meetings and tours
- Manage facility maintenance needs and schedule repairs
- Manage scheduled use of classrooms and videoconference rooms
- Support staff with printing needs and facility signage
- Receive in-kind donations and follow procedures for tracking and submitting monetary donations
- Process invoices and utility payments
- Implement background checks for new staff, contractors, and volunteers
- Maintain organized community member (client) records for grant reporting and compliance
2. Work closely with Lead Teacher to provide specialized administrative support for Greenleaf 18+ Transition School, including:
- School recruitment correspondence
- ARD (Admission, Review & Dismissal committee) meeting scheduling
- School student enrollment and registration
- School attendance data entry
- School calendar creation and schedule maintenance
- School communications
- Compliance – help to ensure compliance with SPED and public education laws and regulations
3. Support Greenleaf NCC staff and programs with information technology needs, including:
- Coordination of IT service requests and needs with IT department
- Assist with set-up and maintenance of student laptops
- Administer student Google accounts/Google Suite
- Help maintain and update Greenleaf NCC website and social media
4. Help to maintain cleanliness of facility, including restocking bathrooms, etc.
5. Manage Greenleaf NCC vehicle maintenance needs, including gas, oil changes, cleaning, and obtaining repair services as needed.
6. Coordinate with Greenleaf NCC staff to host family events, workshops, and meetings.
7. Serve as an ambassador for Greenleaf NCC in the community, tabling at events and assisting with marketing and recruitment efforts as needed.
8. Provide exceptional customer service to past, current, and future community members (clients) and their families; funders/donors; coworkers; board members; community partners; and any individuals benefiting from our programs.
9. Work with different Easterseals departments to ensure smooth office operations, assist in company programs and events, and optimize key processes to ensure a high level of integrity when handling data and confidential information.
10. Assist in the development of new methods, procedures and/or processes to increase efficiency and to improve service delivery, production, equipment performance, scheduling and quality control.
11. Uphold and nurture an environment of direct, timely, and honest communication.
12. Must be a capable and efficient technology user, proficient with PC and Mac user interfaces, Microsoft Suite, and Google Suite.
13. Must be well organized, detail-oriented, and systematic in work processes.
14. Must be a self-starter and respond to office needs in a timely manner.
15. Must possess excellent communication and collaboration skills with the ability to work effectively with both neurotypical and neurodivergent individuals.
16. Perform other related duties as assigned.

Work Environment
This job operates in a professional office environment, with caring and creative coworkers. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets. Outings in the form of field trips and off-site work experiences, are a regular part of the job, so candidates should also possess a driver’s license in good standing and have the ability to driving a 9-passenger van to and from student outings.
Physical Demands
While performing the duties of this job, the employee is regularly required to listen and communicate effectively. This position needs to occasionally move about inside the office to place or remove files and access file cabinets. Constantly operates a computer and other office equipment, such as a computer, copy machines, phones, fax machines and other office machinery. The employee must be able to lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are typically Monday through Friday, 8:30 am to 5:00 pm, but flexibility can be offered based on individual needs. Occasional weekday evening and/or weekend work may be necessary to fulfill position responsibilities. Flexibility is required as job duties demand.
Travel
Travel may be required.
Required Education and Experience
- A bachelor's degree or three years of equivalent job-related experience.
- Experience working with, or caring for, individuals with autism and other neurodivergent conditions is preferred. Knowledge of autism and common neurodivergent conditions is required, as is the ability to appropriately interact with people of all abilities. Spanish fluency is a plus.
- Experience working within Texas public schools, especially Austin ISD, is preferred.
- At least 3 years' experience in customer service or administrative support strongly preferred.
- Must be a capable and efficient technology user, proficient with PC and Mac user interfaces, Microsoft Suite, and Google Suite.
