Outline:
As Office Manager for this Residential Property firm based in Dublin 4, you will act as the first point of contact for the company. Much more than just a Front of House Receptionist, the successful candidate will act as a Personal Assistant to the main Directors while creating a welcoming and friendly environment.
This position would suit an outgoing and personable individual, who thrives in a challenging environment, with a proven ability to multitask, and work well under pressure with a positive attitude.

Responsibilities:
Reception –
- · Meeting and greeting visitors
- · Handling all incoming calls
- · Organising courier services and mail
- · Managing and logging documents on a daily basis
- · Answering and transferring phone calls
- · Answering emails in a timely and courteous manner
- · Ordering and maintaining office supplies as needed
Secretarial support to Directors, Accounts Dept., and Sales Team –
- · Managing Director diaries on a weekly basis
- · Organising Director agendas and meetings for the week
- · Preparing the meeting rooms for internal and external staff
- · Organising travel when requested
Accounts & Sales Team support –
- · Creating PO’s and invoices
- · Updating the database
- · Manually filing and electronic scanning of documents
- · Managing and directing messages to the correct member of staff
- · Assisting with ad hoc duties
Other General Duties to include–
- · Managing general office needs and chores – putting refuse out front each week
- · Opening and locking up the building, ensuring bulbs, heating, plumbing is functional
- · Stocking sundries on a weekly basis (water, milk, tea, coffee, sugar, biscuits)
- · Ensure full stock of cleaning products for cleaning attendant

Essential Skills, Experience, and Qualifications:
- · 5+ years previous experience in a similar role ideally working at Director Level
- · Proficient with MS Office skills (Word, Excel)
- · Ability to prioritise workload efficiently and multitask
- · Proven experience working under pressure
- · Happy to work as the Receptionist and Ambassador for the company
- · Enthusiastic, Friendly, welcoming personality and a ‘can do’ attitude.
