Job description
Position Summary:
The Office Manager oversees a variety of general office, customer service and safety activities critical to the daily success of the bakery operation; directly supervise one employee in the Administrative Department and carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
Key Duties and Responsibilities Include:
· Oversee and back-up one Sr. Admin Assistant
· Oversee Sales Orders, Invoicing and AR including research of deductions, OS&D etc
· Manage and oversee entry of product pricing, exchange rate, freight
· End of Month closing activities reporting, postings, credit memos
· Manage office vendor programs and relationships
· Chair Safety Committee and drive a culture focused on our Value of Safety
· Coordinates office activities with Operations to ensure team and customer needs are met
· Monitor and ensure facility-wide compliance as it relates to food safety fundamentals, quality, and operational safety standards; Participate in monthly Food Safety Meetings
· New customer entry into ERP, gather documents required for set-up
· Manage the administration of Lineage’s Safety Inspection System
· Update Communication Boards
· Participate in the Activities Committee fostering Engagement
· Manage security system and building access
· Resolve day-to-day customer service problems
· Provide analysis of customer sales forecast and trends to leadership
· Trained in the fundamentals of food safety, HACCP, and GMP’s
· Perform other duties as needed in accordance with the organization’s policies and regulations.

· Bachelor’s degree from a four-year college or; or four years related experience and/or training; or equivalent combination of education and experience
· Prior customer service experience
· Disciplined self-starter capable of motivating others
· Common sense approach to business practices
· Strong work ethic that continually raises the bar towards perfection
· Ability to read, analyze, and interpret company policies, procedures, and agreements
· Ability to use the Microsoft Office suite of applications; specifically using Word to create and modify documents, Excel to record data and calculate results, and Outlook to communicate internally and externally. Prior experience using an ERP a plus.
· Ability to manage multiple priorities at one time using effective organizational skills and judgment in an environment of frequently changing circumstances.
· Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
· Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
· Ability to apply commonsense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

· Fast paced processing work environment, in and around industrial machinery.
· Processing work area kept at 65-68 degree ambient temperature
· Processing noise level is loud, requiring hearing protection in processing work areas
