We are recruiting our new Office Manager to join us in our Dublin Office.
Possibility of part-time contract 80-60%
Let's talk about responsibilities:
In this role your responsibilities will include but are not limited to :
Diverse administrative duties, including:
- Managing third party service providers relating to soft and hard services for the site e.g. main building reception and facilities, site maintenance, mail operations, meetings and events, cleaning, waste and recycling, and catering services;
- Being proactive and pre-emptive in identifying, addressing and resolving issues (including those raised by personnel) onsite in a timely manner;
- Setting up of meeting rooms, office space etc. which may involve physical moving of desks, chairs, partition walls etc.;
- Monitoring and maintaining office equipment and supplies, including:
- Equipment used in the kitchen and breakout areas;
- Locks, key barrels and door handles; and workstations, lockers, chairs, printers and other miscellaneous office furniture and equipment.
- Ensuring cleaning quality standards are maintained throughout the site;
- Raising purchase orders and completing expense reports relating to site expenses using Concur;
Assisting the H&S team to promote a healthy and safe work environment, including:
- Ensuring the facilities provided comply with all H&S requirements;
- Attending and completing relevant training as required;
- Managing daily health & safety issues;
- Maintaining regular scheduled meetings and records of the fire and safety teams/fire drills/safety equipment/training;
- Being observant and aware of risks, identifying hazards and remedying potential safety issues on site; and
- Mitigating personnel and asset risk from contractors performing service and maintenance activities on site, ensuring personnel are aware of maintenance activities which may impact them.
- Maintaining in-house documentation/reports, as applicable for site; and
- Upholding a congenial, professional demeanor, greeting site visitors and interfacing with co-workers appropriately;
- Managing correspondence and deliveries (e.g. managing incoming and outgoing post, scanning, printing, filing etc.) for the site while ensuring safe and efficient handling of confidential data; and
- Effectively planning, coordinating and executing onsite and offsite meetings and events; arrange for facilities, menu planning and catering; oversee accommodations and extraordinary requests, as needed, and ensure smooth execution while communicating up to date information to personnel.
Ad hoc. duties, including:
- New employee ResMed Ireland site onboarding;
- Supporting site social committee activities and budget.
Let’s talk about qualifications, experience and skills:

Demonstrated experience in functioning independently at the highest assistant level with strong attention to detail, exercising outstanding professionalism, sound judgment and common sense.

Proactive with an ability to effectively manage own workload to ensure delivery of results.

Demonstrate diligence in seeking a solution to resolve issues.

Ability to rapidly adapt to a wide range of leadership styles.

Ability to communicate effectively, both orally and in writing.

Bachelor’s Degree and previous experience of working within a in a high-profile-corporate environment preferred.

Highly proficient with Outlook, PowerPoint, Excel, and Word.
