The World Languages and Cultures department offers classes in Spanish, French, and German. The faculty include five full-time, tenured professors and three full-time NTTs, in addition to a variety of adjuncts. A main feature of our programs is our summer study abroad programs to Buenos Aires, Argentina, Malaga, Spain, and Lyon, France. This is a very amiable and collaborative department.
Job Description
The Office Support Assistant IV provides general administrative and office support to departments in the School of Humanities and Social Sciences including a variety of responsibilities such as assisting the Department Chair(s), student support, faculty support, and assisting with human resources/financial support.
Key Responsibilities
- Office Management which includes answering questions via phone, email, and walk-ins; manage copy machine and printers throughout department; supply ordering; event coordination; building liaison; prepare department promotional materials.
- Assist the Department Chair in support with day-to-day activities; help prepare reports for department requested by Dean's office and other administrative offices.
- Support students by course scheduling, website maintenance, catalog maintenance, scheduling appointments, preparing the student newsletter, answering questions, and connecting students to campus resources.
- Support faculty with research and teaching needs including ordering supplies, reimbursement assistance, grant assistance, course material preparation, and full-time hiring visit coordination.
- Assist with HR activities such as part-time hiring paperwork and coordination; supervise work study students; work with Human Resources Business Partner as needed.
- Financial activities such as assisting the department chair with budget management; onecards, eProcurement, and working with Accounts Payable (APS) Shared Services Center and the Fiscal Officer as needed.
- Other duties as assigned.
Minimum Qualifications
High school diploma or equivalent and at least 5 years of experience from which comparable knowledge and skills can be acquired is necessary.

- Welcoming to students and community members.
- Knowledge of languages taught at the department is not required, but appreciated.
Salary
$13.67 - $18.00 per hour commensurate with education, experience, and internal equity.
Shift
Full-time, benefit eligible staff position.
