Hayden Machinery is currently seeking a candidate to fulfill the open position as an Operations Coordinator.
Key Responsibilities:
- Positively take ownership of the customer experience with Hayden Machinery
- Assist Service team with work order progress from open to close, including:
b) Purchase order reconciliation
c) Ensure all parts are accurately applied to work-orders
d) Writing accurate and easy to understand work-order descriptions
e) Preparing warranty claim tickets
f) Closing work-orders in a timely manner.
- Pull internal (sales and service) and external customer parts upon request
- Receive, record, and put away daily incoming freight and stock orders
- Perform weekly or monthly cycle counts
- Ensure technicians receive correct parts according to demand
- Maintain part return records from internal and external customers
- Promptly restock all unsold merchandise and properly tag defective items to place in warranty bins
- Return all unsold merchandise immediately to the correct stock location
- Package and ship all internal and external customer orders
- Work to obtain a working knowledge of Parts Inventory Control practices
- Stay current on new procedures from shipping, returning, and ordering parts
- Look up parts for customers and service technicians as needed, either over the phone, fax, or face-to-face using computer information systems
Examine returned parts for defects when exchanges are needed or issued credit when necessary
- Work closely with the Operations Manager and warranty writer on outstanding claim tracking.
Maintaining a clean and organized work-flow, determined by the Operations Manager.
- Assist with annual physical inventory (performed after hours or on Saturday)
- Adhere to all company policies and procedures
- Ability to provide satisfactory customer service, including customer needs assessment, meeting service quality standards and customer evaluations.
Knowledge/Skills/Abilities
- Knowledge of machines and tools, including their designs, uses, repair and maintenance
- Basic knowledge of office machines, including copier, fax and printer
- Able to communicate effectively as appropriate for the needs of the customer or coworkers
- Strong attention to detail
- Able to work effectively in a team environment
- Able to process work with accuracy
- Meet commitments and deadlines
- Able to work a flexible schedule as needed
- Able to organize and prioritize numerous tasks and complete them under time constraints

Physical Requirement and Working Conditions
Must be able to work overtime, including occasional evenings and/or (rarely) weekends. Must be able to stand for an extensive amount of time. Must be able to repeatedly lift up to 50 lbs, and occasionally up to 75 lbs. Work is performed in a shop and office environment with frequent exposure to outside elements and seasonal environmental factors. Frequent stooping, bending and lifting occur. The majority of the time is spent walking or standing.
