Job Title: Operations Manager

Reports to: President and CEO

Location: Bonita Springs, Florida

Job Summary

SWFL Inc. is seeking an experienced, dynamic, and proactive Operations Manager to join our team. The successful candidate will provide administrative, technical, and general support to ensure smooth day-to-day operations, enabling SWFL Inc. to operate at maximum efficiency and productivity.

Duties and Responsibilities:

The Operations Manager will oversee a broad range of functions to ensure the office runs efficiently and effectively, including but not limited to:

  • Managing the office to ensure a professional and welcoming environment for staff and visitors.
  • Utilizing QuickBooks and other financial and accounting systems to create invoices and manage accounts payable and accounts receivable.
  • Preparing monthly reports, agendas, and minutes for SWFL Inc. and SWFL Foundation Inc. Board of Directors.
  • Overseeing the annual audit process to ensure compliance with fiduciary requirements.
  • Developing external relationships with community partners and managing organization service contracts for facilities, IT, and other functions.
  • Tracking, maintaining, and communicating employee benefit information.
  • Ensuring the orderly documentation and filing of human resource documents and resources for staff members, as well as for compliance with legal requirements.
  • Filing federal and state employer and employee reports as required.
  • Tracking staff hours worked and PTO.
  • Managing board room rentals.
  • Planning and organizing the purchase of office supplies in accordance with purchasing policies and budgets.
  • Representing SWFL Inc. at community events and serving as a company ambassador.
  • Providing additional support for office functions as needed.

Performance Measurement:

The Operations Manager will be evaluated based on the quality, accuracy, and timeliness of their work, as well as their efficiency, contributions to the organization's effectiveness, and overall professionalism.

Required Skills/Abilities:

The successful candidate will have the following skills and abilities:

  • In-depth understanding of business and finance practices, theories, and policies.
  • Proficiency in Microsoft Office Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Strong analytical, decision-making, and critical thinking skills.
  • Working knowledge of financial and accounting systems, including QuickBooks, Excel, and Word.
  • Understanding of human resources practices.
  • Effective written and verbal communication skills for different audiences.
  • Excellent organizational practices to ensure project timelines and standards are met.

Physical Expectations:

The Operations Manager will be expected to engage in the following physical activities:

  • Extended periods of time working on a computer and telephone.
  • Lifting objects weighing up to fifteen pounds.

Minimum Education:

A Bachelor's degree in business or accounting administration or equivalent experience in a relevant field is required.

Experience:

The ideal candidate will have at least three years of experience in business operations management, finance, accounting, or human resources, with non-profit experience being a plus.

Job Type: Full-time

Pay: $44,000.00 - $50,000.00 per year
